Coventry and Warwickshire Partnership Trust are looking for an enthusiastic and self-motivated individual to join our admin team supporting our Adult Mental Health services based at The Railings, Rugby.
The post holder will play an important role within the wider Admin Team to provide efficient and comprehensive administrative support for the service. You will work within a skilled mixed Admin Team in the building to support admin and clinical services and duties will include telephone bookings and queries , scanning , uploading to our system and sending out appointment letters. You will have excellent communication skills as you will be liaising with internal and external agencies, other staff members, parents/carers and patients.
Main duties of the job
We are looking for a compassionate approach to supporting patient care and service improvements. You must be able to build effective working relationships, be approachable and accessible with a flexible approach to work. The essential requirements of this post are a good telephone manner, high level communication skills and attention to detail. You will have good organisational skills and the ability to work both independently and as part of a team. We have a full electronic patient record system which is central to our work, so accurate record keeping is critical, and you must be able to concentrate in a busy working environment.

Detailed job description and main responsibilities
The overall activities of the post-holder will include -
· Providing an efficient and professional administrative/reception service across all services in the building
· Handling all aspects of patient appointments via the telephone and face to face
- Cancelling and re-booking clinics / appointments as delegated by Supervisor / Line Manager
- Taking detailed messages via telephone or on reception, dealing with them in a timely and efficient way and refer as appropriate
- Ensuring appropriate care records and files are available to clinicians (e.g. for inpatient and outpatient appointments and for ad hoc requests)
- Accurately inputting confidential data using a variety of Trust IT systems in a timely way.
- Booking interpreters and transport for patients as required
- Providing flexible administrative and reception cover as required to meet the needs of the services. This might occasionally involve working at another base in the local area during cross cover arrangements.
- Receive and open incoming post and take action as required
