Job overview

MSK Services Lichfield and Tamworth are looking to recruit a team-orientated Administration Assistant to join our friendly Admin team. 

You will be responsible for providing administrative support to the Community Musculoskeletal Services Lichfield and Tamworth, including updating clinical systems, supporting with waiting list management, stock management, equipment ordering, photocopying, taking telephone calls and liaising with members of the public to book appointments/deal with general enquiries.

This is a busy environment to work in with constant demand for appointments and supporting our clinical staff, but you will be working with a great team of people who will support you along the way.

Working pattern for this role will be:  Tuesday 1300 - 1630, Wednesday 1000 - 1630, Thursday 1230 - 1630, Friday 0830 - 1230.

Main duties of the job

Job Responsibilities:

  • Taking calls, booking patient appointments & dealing with queries from patients, relatives, staff and other agencies 
  •  Supporting clinical services including scanning, filing, creating and sending clinic letters and supporting projects and audits as required
  • Use of electronic patient records system for booking patients & use of Office 365 packages
  • Being part of the wider administration team in NIMS
  • Actively contribute to service improvement and be involved in patient engagement

You must possess excellent interpersonal and communication skills including telephone, email and face to face. You need to have the ability to follow processes and procedures, have a high level of ability to organise and manage your own time, keeping to schedules and deadlines and be able to work well as part of a dynamic team.

You will also possess good organisational skills, be willing to take on/learn new skills and have the ability to show attention to detail and accuracy.  You must be organised, flexible and adaptable and able to problem solve effectively.

  • NVQ level 2 /RSA 2 or equivalent

  • Previous experience of office and Administration procedures
  • Experience of using computer based information systems in an office environment including the use of Microsoft Office and Outlook.

  • Previous experience of working in a busy office
