Job overview

The post holder will be responsible for providing all reception duties including room bookings.  They will also assist with all administrative duties within the Medical Education Department as well as assisting in maintaining the Centre to a high standard.

As a general requirement, the post holder will be required to work 8am-4pm Monday to Friday and on occasion work flexibly to cover 9am-5pm if required

Main duties of the job

  • To open the Centre in the morning and ensure the rooms are prepared for any bookings (this may require moving chairs/tables).
  • To act as first point of contact for the centre for telephone and face-to-face enquiries. This will include dealing with both internal and external users, suppliers, medical reps and contractors.
  • To deal with the initial stage of all enquiries, and where appropriate, follow the query through to conclusion after clarification of the necessary points.
  • To take room bookings for the Centre and maintain accurate booking records and manage the booking diary.
  • To prepare rooms and hospitality for meetings as necessary.
  • To clear and tidy rooms following meetings.
  • To open and distribute all incoming mail.
  • To contribute to developing efficient and effective communication systems for all activity relating to the Centres.
  • Maintain Centre notice boards with current course – internal and external - information.
  • Undertake copy and audio typing, data entry, photocopying, filing, labelling and distributing mail / documents as required.
  • To create basic spreadsheets and maintain departmental information systems (databases) for effective monitoring and communication of all activities.
