We are offering an exciting opportunity for an experienced and enthusiastic person to support the Child and Adolescent Mental Health Team. This post is based at Westgate House, Hillside Health Centre, Skelmersdale. 

The post is 37.5 hours per week and is a permanent post within the team. Working hours are Monday – Friday, 9am – 5pm. 

Qualifications needed: NVQ level 3 administrative qualification or equivalent experience, RSA 2 or equivalent, ECDL or equivalent experience. 

This is an exciting opportunity for enthusiastic and motivated individuals to join a community based children’s mental health service and work as part of a multi-disciplinary team. This team includes psychological therapists, nurses and psychiatrists. 

You must be able to provide efficient administrative support and have excellent IT, keyboard and data inputting skills. You will also require strong interpersonal skills, be able to demonstrate initiative and the ability to organise your workload effectively.  

The work is varied, interesting and demanding and candidates need to be organised, flexible and reliable. We are looking for people who possess the ability to meet the demands of the service, and also to be able to communicate with a wide range of people, including patients, carers and health care professionals.

Hours/sessions per week: 37.5 hours per week

Main duties of the job

The post holder will provide a comprehensive administration and information service and coordinate their activities with other members of the administration team to ensure an efficient and confidential service is provided.

The post holder will be aligned to a specific clinical team and is required to work flexibly in response to the needs of the service providing cover to other teams on various sites as directed by the Team Leader in liaison with Locality Admin Co-ordinator to ensure continuity of a quality service.

  • Receive allocate and despatch internal /external mail in line with the Trust policy.
  • To be the first point of contact for the unit/department providing a comprehensive customer service and enquiry provision to internal and external customers of the Trust.
  • Provide a comprehensive administrative service which will include minute taking, cover compilation of reports and other correspondence on behalf of the team manager and other members of the team, ensuring a high standard in accordance with Trust standards.
  • To create and maintain effective working relationships with staff at all levels, internal and external across the whole health economy

Detailed job description and main responsibilities

  • Work collaboratively with the appropriate management teams and other departments including clinicians to ensure that the appropriate leads are notified in the case of matters of urgency and dealt with in a timely manner.
  • To provide a secretarial function to the Team Leader and Deputy Team Leader.
  • To arrange supervisions and PDRs on the Managers behalf.
  • Attend and participate in team meeting and admin services meetings as required

Education

Essential criteria
  • NVQ Level 3 in Customer Care or Business Administration – or equivalent experience
  • Demonstrable commitment to continuous personal development.
Desirable criteria
  • Good level of general education

Knowledge

Essential criteria
  • Awareness of issues in the Mental Health Network.
  • Knowledge of a range of administrative procedures and practice.
Desirable criteria
  • Interest in current issues particular to a Foundation Trust and the network
  • Knowledge of NHS management processes

Experience

Essential criteria
  • Previous experience as a Secretary/Administrator including diary management
  • Previous experience of working in a fast moving, confidential, sensitive, pressurised deadline driven environment
  • Experience of supporting and minuting meetings.
Desirable criteria
  • Experience of working within an MDT preferably within an NHS environment.

Skills and abilities

Essential criteria
  • Takes a pro-active approach to tasks.
  • Ability to communicate effectively at all levels using e-mail, telephone or face to face.
  • Able to demonstrate skills in organising and prioritising of diaries and schedules
  • Proven experience in producing minutes.
  • Accurate keyboard skills for producing reports and correspondence etc. including live note taking at RSA II or equivalent.
  • Well-developed administrative skills.
  • Capable of working under pressure and using own initiative; able to prioritise workload
