Job overview

Lancashire and South Cumbria NHS Foundation Trust is a Specialist Mental Health Trust providing health services, substance misuse services, older adult mental health services and psychological therapies to residents of Blackpool, Blackburn, Lancaster, Morecambe, Hyndburn, Ribble Valley, Burnley, Chorley, South Ribble, Preston, the West Lancashire of Ormskirk and Skelmersdale and South Cumbria.  The Trust also supplies low and medium secure care and forensic services. 

Applications are invited for a Band 3 Administrator to provide a comprehensive secretarial administration and information service across the Specialist Perinatal Mental Health Team, and coordinate their activities with other members of the administration team to ensure an efficient and confidential service is provided. 

The post holder will be aligned to the SPCMHT, covering the North Lancs & South Cumbria locality based at East Barn in Lancaster, but is required to work flexibly in response to the needs of the networks administrative service providing cover to other departments across the Service as directed by their Administration Line Manager to ensure continuity of service provision. 

 

Main duties of the job

Evidence of good general education is essential together with good communication skills and excellent organisation ability. Knowledge of working with the NHS will be an advantage and computer skills with essential. 

The successful candidate with require a mature, flexible approach and the ability to work within a busy team. They will be expected to use their own initiative and work unsupervised to ensure the effective coordination of duties. 

  • Receive allocate and despatch internal /external mail in line with the Trust policy. 
  • To be the first point of contact for the unit/department providing a comprehensive customer service and enquiry provision to internal and external customers of the Trust. 
  • Provide a comprehensive administrative service which will include minute taking, cover compilation of reports and other correspondence on behalf of the team manager and other members of the team, ensuring a high standard in accordance with Trust standards. 
  • To create and maintain effective working relationships with staff at all levels, internal and external across the whole health economy. 
  • Work collaboratively with the appropriate management teams and other departments including clinicians to ensure that the appropriate leads are notified in the case of matters of urgency and dealt with in a timely manner.

Detailed job description and main responsibilities

  • The post holder is required to make decisions and judgements concerning information received in order to prioritise and refer on to the appropriate staff/department, or take appropriate action within pre-agreed boundaries. 
    Assist in the planning and organising of a range of team activities and programmes including regular meetings and other events. 
  • In line with set standards ensure that agendas, papers and minutes are produced and circulated in accordance with the schedule of meeting dates.   
  • Monitoring and maintaining stationery supplies and stock for the team.   
  • To provide short term cover for the team medical secretary as and when required.

Education/Qualifications

Essential criteria
  • NVQ Level 3 in Customer Care or Business Administration – or equivalent experience
  • Demonstrable commitment to continuous personal development.

Knowledge

Essential criteria
  • Awareness of issues in the Mental Health Network.
  • Knowledge of a range of administrative procedures and practice.
Desirable criteria
  • Interest in current issues particular to a Foundation Trust and the network
  • Knowledge of NHS management processes

Experience

Essential criteria
  • Secretary/Administrator including diary management
  • Previous experience of working in a fast moving, confidential, sensitive, pressurised deadline driven environment.
  • Experience of supporting and minuting meetings
Desirable criteria
  • Experience of working within an MDT preferably within an NHS environment.

skills and abilities

Essential criteria
  • Ability to communicate effectively at all levels using e-mail, telephone or face to face.
  • Able to demonstrate skills in organising and prioritising of diaries and schedules.
  • Proven experience in producing minutes.
