Job overview

As a vital team member you will provide excellent administration and communication skills and work flexibly in response to the service needs. You will have strong interpersonal and organisational skills, be computer literate and be able to use a variety of systems including Excel and Microsoft Office, possess excellent time management skills along with the ability to manage competing demands and priorities.
This is a very varied role and would suit someone who is highly motivated and capable of working on their own initiative, with a medium level of supervision.

Main duties of the job
This is an exciting opportunity for a committed individual to join the Administrative Team and assist in the smooth running of the service.
This will include:
- Provide a range of secretarial duties to the team or department
- Attend departmental meetings on a regular basis
- Ensure data is inputted accurately and timely and proactively
- Be the first point of contact for the team or department. Greeting visitors, answering telephones, taking and forwarding messages, ensuring that all telephone and personal callers receive a prompt, courteous, non-judgmental and well-informed response.
- Respond to queries, dealing with routine matters and passing on more complex queries to the appropriate member of staff
- Provide day to day support to clinical teams and colleagues
- Work collaboratively with the appropriate management teams and other departments and ensure that all cases are dealt with in a timely manner
- Typing appointments/discharge letters
The successful candidate will have a good all round administration skills/experience and knowledge of customer service. You will be required to work flexibly in response to the needs of the networks administration service, providing cover to various sites as directed by their administration line manager to ensure continuity of a quality service provision.

Detailed job description and main responsibilities
- Be the first point of contact for the department.
- Answer telephones, taking and forwarding messages, ensuring that all telephone and personal callers receive a prompt, courteous, non-judgmental and well-informed response.
- Respond to queries, dealing with routine matters and passing more complex queries to the appropriate member of staff.
- Receive, allocate and despatch departmental mail (internal and external).
- Provide an administrative service to include typing of routine information such as reports and other correspondence on behalf of the team, ensuring a high standard in accordance with Trust standards.
- Attend and participate in team meetings and administrative service meetings as required as part of the smooth running of the service.
- Demonstrate the role to new or less experienced staff.
