Join Our Team as a Resource Planner at HUC!

Are you a highly organised, proactive individual with a passion for making things run well.  We’re looking for a 111 Resource Planner to play a key role in the coordination and administration of HUC’s clinical and operational rotas.

In this role, you’ll take ownership of ensuring our rotas are fully resourced, compliant, and aligned with service needs — working closely with staff and service managers to keep everything running smoothly in our fast-paced, 24/7 environment.

Key Responsibilities:

·       Ensure rotas are fully resourced and compliant with staffing needs

·       Manage rota systems, swaps, and new starter setup

·       Liaise with managers to authorise leave and record absences

·       Monitor daily rota fill and report on staffing levels

·       Flag staffing gaps, risks, and concerns to service managers

·       Ensure compliance with the Working Time Directive and internal processes

What We’re Looking For:

·       Strong organisational and communication skills

·       Ability to thrive under pressure and adapt to changing priorities

·       Confidence in using rota systems and IT tools

·       A collaborative team player with a problem-solving mindset

·       Understanding of confidentiality and compliance principle

·       Ability to travel to different HUC sites if required

Main duties of the job

  • Proactively ensure that the rota is resourced and move resources appropriately

  •   Liaise with line managers regarding the authorisation of annual leave and recording of sickness

  • Set up new employees on Rota Master

  •  Work closely with the Service Manager and highlight any gaps or concerns and highlight vacancies

  • Management of swaps

  • Daily reporting of rota fill/overview

  •  Ensure short term absences are filled or addressed accordingly and flag to relevant managers

  •  Ensure bookings comply with the Working Time Directive

  •  Ensure all processes are adhered to

  •  Using software tools as a resource tool effectively and accurately

  •  Liaise with payroll regarding any payroll issues including cancelled shifts, absence, sickness etc.

  • Maintain master rotas for each workgroup

  •  Preparation for the commissioner conference calls regarding rota fill (with the USC Lead Resource planner and service managers)

  •  Working in a fast paced and challenging 24 x 7 environment, proactively ensure rotas are resourced to maximum potential, ensuring the right resources are allocated to the right place at the right time.

  • The role will involve ensuring all rotas are up to date, accurate and relevant to the live operational plan and in line with set budgets.

  • Escalation of issues and risk management approach
