Job overview

There is an exciting opportunity for an experienced Personal Assistant to join our Division of Surgery, Gastroenterology and Anaesthetics to
provide comprehensive secretarial and administrative support to the three divisional leaders: Divisional Director, Associate Director of Nursing and Associate Director of Operations.

A strong team player, you will also possess excellent communication skills and must be able to take responsibility for day-to-day planning and
prioritising of workload, being proactive in supporting the divisional Team.

Duties will include diary management, agenda preparation, minute taking and typing of reports.

You will have excellent IT skills, proficient in the use of Microsoft Office, including Microsoft Teams, and you will be able to use IT and data
reporting systems which will support the leadership team in the delivery of divisional performance and quality objectives.

The post holder will have the opportunity for hybrid working on site and from home, details of which to be discussed at interview. Meetings will be a combination of face-to-face or via Microsoft Teams. For the face-to-face meetings, the post holder will need to be able to travel between Ipswich and Colchester.

Main duties of the job

The post holder will be responsible for ensuring the delivery of an effective administration PA support for the Divisional Leadership Team. High quality secretarial support is provided and ensuring effective communication between internal and external colleagues.

The post holder will be able to react to and implement changes to service as directed by the Divisional leadership team.

The successful candidates will be able to demonstrate a 'can do' approach to their duties with a strong commitment to excellent service provision. A flexible attitude and the ability to use your own initiative is essential for this role.

You should have excellent organisational skills, the proven ability to work under pressure, priorities workloads and meet deadlines. In turn we are looking for someone with excellent verbal and written communication skills as you will need to liaise with staff at all levels.

Experience

Essential criteria
  • Proven experience in PA role with a proven track record of achievement
  • Experience of setting up and maintaining a successful filing system and electronic diary management system
  • Experience of minute taking
  • Experience of contributing to the development and delivery of business plans to support corporate objectives.
Desirable criteria
  • Evidence of successful management of change within office environment
  • Experience of supporting organisation communication strategies.
  • Short-hand experience

Qualifications

Essential criteria
  • GCSE or equivalent in Maths
  • GCSE or equivalent in English
  • RSA Level III or equivalent
