Job overview

Are you an organised and motivated administrator looking for a rewarding role in healthcare?

We are seeking a Team Administrator to support our Facilities Team in delivering a high-quality service across our organisation. You'll be based across two of our sites in the east of the county; St Ann’s and Alderney Hospital, Poole.

As a Team Administrator you will have strong administrative skills, experience in finance-related tasks such as processing orders and invoices, and the ability to work independently in a fast-paced environment. You will be confident in IT skills, with experience of using databases and Microsoft Office, as well as experience of taking and transcribing meeting minutes in an accurate and timely manner.

This is a full time role covering Monday to Friday, we would accept part time applications with a minimum of 25 hours over 4 days. We can be flexible with shift times, this can be discussed at interview.

Main duties of the job

Provide an efficient timely filing system; both paper and electronic to include archiving of records.

Be involved in the induction and training of new members of staff.

Organise and prioritise routine and non-routine workload, liaising and communicating with colleagues to maintain a team approach.

Have input into developing, organising and implementing new office procedures and improvements to the service.

Undertake any other duties as advised by the Admin Co-Ordinator and team managers.

Employment in this post requires Disclosure and Barring Service (DBS) check, which the Trust will cover the cost of.  Applicants who subscribe to the DBS update service are able to present a valid DBS certificate instead of requiring a new check.

Person specification

Knowledge, skills and training

Essential criteria
  • Educated to GCSE level or equivalent experience.
  • 3 Knowledge and understanding of data protection and patient confidentiality.
  • Recent previous experience of arranging meetings and minute taking.
Desirable criteria
  • NVQ Level 2 or equivalent in Administration or Yes Certification/ Customer Service.

Job Specific Experience

Essential criteria
  • A clear understanding of financial resources.
  • Demonstrable skills in written and spoken English to a standard which enables the post holder to carry out the full range of duties and responsibilities of the role effectively.
  • Experience of working in an administrative role within a fast paced environment.
Desirable criteria
  • Experience of working with or within the NHS in an equivalent or similar role.

Personal Qualities/Attributes

  • Effective at team working and interacting and communicating with colleagues.
  • Ability to work to a high level of accuracy.
