Please be advised that there is a temporary top up for Bands 1,2 and 3 to reflect the incorporation of the top up to the  living wage of £12 per hour - £23,465 per annum. This temporary top up will be in place until  the annual pay uplift for 2024/25 is confirmed.

Job overview

An exciting opportunity has arisen to work in the Communications Team in Public Health Wales. We are seeking an experienced PA and Administrator to undertake the role of PA to the Head of Communications and provide administration support for the Communications Team. 


The successful candidate must have strong organisational skills, have the ability to prioritise and manage multiple tasks and deadlines, work under pressure and the ability to communicate with internal and external stakeholders. 


This role provides an ideal opportunity for candidates interested in a career in communications.  The post holder will be supporting the delivery of a first-class communications and engagement service, ensuring the smooth running of the team and the effective delivery of key meetings.

Main duties of the job

The candidate should have excellent proven organisational and first class administration and diary management skills; strong attention to detail; be confident in communicating with stakeholders; and be adept and proactive in identifying problems and finding solutions. 

Part of the role will involve budget support, invoicing, purchasing goods and services using the procure to pay ‘Oracle’ system, submitting monthly pay cards and on-call returns, and monitoring and recording sickness absence and statutory and mandatory training compliance using ESR.

The ability to speak Welsh is desirable for this post but not essential; Welsh and/or English speakers are equally welcome to apply.

This is a Fixed term role ending 31 March 2025 (with the possibility for an extension/permanent role in the future).

Qualifications

Essential criteria
  • RSA level III, NVQ Level 3 Business Administration or equivalent level of experience. ECDL or equivalent experience.
Desirable criteria
  • Advanced ECDL

Experience

Essential criteria
  • Demonstrable proven experience of working as a PA or equivalent. Experience of dealing with confidential and sensitive data and appropriate maintenance and storage of records. Minute taking and recording. Experience of working autonomously.
Desirable criteria
  • Supervisory experience. Audio typing. Working in an NHS environment

Skills

Essential criteria
  • Planning and organisational skills. Advanced keyboard skills with the proven ability to produce reports, spreadsheets and correspondence.
Desirable criteria
  • Ability to speak Welsh or willingness to learn

Knowledge

Essential criteria
  • Working knowledge of MS Office Suite. Awareness of policies and procedures relating to dealing with confidential data both personal and organisational. Thorough understanding of secretarial procedures. Working knowledge of filing/data systems including records management. Knowledge of administrative and organisational procedures, acquired through training and relevant experience.
Desirable criteria
  • Knowledge of Public Health Wales.
