Job overview

An exciting opportunity has arisen for a Patient Tracking Administrator to work in a progressive Cancer Services Team. We are looking for a motivated, organised and enthusiastic team player to join an established team.  Training will be provided to support a new starter in this role. The individual will have an eye for detail ensuring accurate data input in line with National Cancer Waiting Times Guidance, Quality Surveillance and COSD. 

Main duties of the job

The Cancer Services Administrator will work as an integral member of cancer performance teams, providing a pro-active and facilitative clinical pathway navigation service by supporting the MDT Coordinator and clinical teams in ensuring that patient care is delivered in an effective and timely manner in accordance with national guidance. 

The post holder will work closely with the MDT Coordination Team to ensure all patients are diagnosed within the national guidance and in accordance with Cancer Waiting Times and ensure the Trust’s cancer database is updated with investigations, results and pathway milestones. The post holder’s remit is informed by relevant and contemporary national cancer policy and revisions to these frameworks as they are published.  The pro-active collection and dissemination of relevant clinical data and information is a crucial part of ensuring the success of the role and the data management elements of this post should not be underestimated.

Detailed job description and main responsibilities

  • Operationally responsible for the day-to-day delivery of key performance indicators for the department, 
    in line with divisional and organisational goals and targets, including delivery of national targets like. 
  • Responsible for establishing and maintaining excellent relationships with key stakeholder across departments and divisions. 
  • Responsible for maintaining the standards and quality of the administration function, and coordinate with key stakeholders the booking of patient appointments.
  • Liaise with stakeholders to ensure any delays are accurately and efficiently communicated to patients.
  • Communicate sensitive and at times complex patient information to key stakeholder. 
  •  Ensuring that key working partners needs and views are taken into account in the planning and monitoring of department’s activities and escalate concerns to management team.

Person specification

Education

Essential criteria
  • Educated NVQ Level 3 or equivalent qualification, or experience in a similar role
  • Demonstrable working knowledge of Microsoft packages including Outlook, Word and Excel
Desirable criteria
  • Database management
  • Oncology for non-clinicians and/or National Cancer Intelligence Network elearning cancer modules
  • Keyboard skills to RSAII or equivalent

Experience

Essential criteria
  • An understanding of medical terminology relevant to the role
  • Able to demonstrate experience of effective working in a team environment (any setting)
  • Previous experience of coordination of a service
  • Previous experience of using data validation and extraction software
  • Experience of handling highly sensitive information
Desirable criteria
  • Previous NHS experience
  • Familiarity with patient clinical notes and data systems

Knowledge

Essential criteria
  • Able to demonstrate high level of accuracy
  • Able to demonstrate analytical skills/reasoning
  • Able to demonstrate facilitation and influencing skills
  • Excellent communication skills
Desirable criteria
