We are looking for  dynamic, enthusiastic, reliable and committed individuals to join the Temporary Staffing Team.  

The Temporary Staffing Team currently process and manage the Medical (doctors), Nursing, Allied Health Professional and Administration & Clerical flexible workforce being utilized throughout the Trust (this includes Bank and Agency workers).

The post holder will work as part of the Temporary Staffing Team, assisting with the booking of temporary workers into the Roster, providing the wards with appropriate staffing levels.

In addition to this, the post holder will be responsible for their own departments and will work closely with the Clinical Leads, Heads of Service, Rota Coordinators, Ward Managers and Matrons to understand their staffing needs. Ensuring the temporary staffing requirements are dealt with in a timely and cost effective manner by close liaison with the team and partner agencies.

Main duties of the job

Excellent communication skills are essential as the post requires the ability to develop and maintain professional working relationships with a wide range of stakeholders and demonstrate a committed approach to providing a high quality service. The ideal candidate must be proficient with various IT applications in order to use the established E rostering process.

Candidates wishing to apply for this post should be aware that the Temporary Staffing Service operates Monday to Friday 08.00 – 19.00 hrs and Saturday, Sunday and Bank Holidays 08.00 – 16.00hrs. Candidates should be prepared to work across all service hours Monday to Friday and ad hoc on a Saturday and Sunday.

Detailed job description and main responsibilities

1. Respond to requests from flexible workers (bank/agency) and accurately record requests for cover from departments, wards, matrons and managers within the Trust.

2. Update internal service users regularly in regard to cover request progress or any changes to requirements.

3. Book bank and agency workers in line with agreed booking processes, policies and authorisation arrangements.

4. Book agency workers through the agreed Trust Framework arrangements and using preferred supplier lists.

5. Communicate on a daily basis face to face, by email or by telephone with bank workers to determine their availability and work preferences for that week.

6. Support the temporary staff recruitment process, in line with Trust policies and procedures.

7. Support the interview process for Bank Workers where directed by the Temporary Staffing Team

8. Maintain paper and computerised record systems and produce regular reports on the level of activity as directed by the Temporary Staffing Team Leader.

9. Work with the TempRE Team, Workforce Intelligence Team and Payroll Department to resolve any issues with processing of timesheets and pay.

10. Manage all general enquiries, bank workers Ward managers or the general public escalating to the Temporary Team Leader where necessary / appropriate.

11. Ensure all new starters have completed Local Induction Documents

12. Act as a key contact for new starters joining the Temporary Staffing Service

13. Act as a point of contact for any general queries around the production and use of E-Rostering within the divisional teams, referring any technical queries to the Workforce Intelligence Team

14. Undertake basic contract changes for staff within the allocated teams upon direction from the roster manager and in liaison with the Workforce Intelligence Team.

Essential criteria
  • 5 GCSE’s or equivalent at grade A*- C including Maths and English
  • NVQ Customer Service / Business Admin
Desirable criteria
  • Experience of producing reports and updates on staffing levels versus KPI’s

Experience

  • Information Management and Technology literate
  • Regular use of databases, spread sheets and email
  • Knowledge of Microsoft office packages including Word, Excel and Outlook.
Desirable criteria
  • Knowledge and regular use of an electronic staff rostering system
