The Nursing and Patient Experience team work collaboratively across the organisation as part of the Quality and Professional Standards Directorate. We also work with external system partners where  we build effective relationships and work in partnership to assist the integration and the implementation of urgent care.

Main duties of the job

The role requires provision of a full and effective comprehensive range of efficient confidential administration services to the Nursing and Patient Experience Team, including related workstreams and projects.

The post holder will have strong organisational, administrative, project management and communication skills. The Nursing and Patient Experience Team has a broad remit requiring engagement with senior staff from within and external to the Trust.

Responsibilities include the management of diaries, arranging visits and making travel arrangements. The post-holder will need excellent ICT, communication, and organisational skills to enable them to coordinate arrangements and manage priorities. They will be responsible for maintaining records and producing, collating, printing, and distributing papers for meetings, events and workshops. They will need to be self-motivated and able to use own initiative whilst also able to work as part of a team when required.

Detailed job description and main responsibilities

In your role, you will play a major part in supporting the whole team to deliver a high quality service. More specifically, you will ensure the organisation and prioritisation of team member tasks and day to day meetings. Our team operates in a complex regional system, managing differing priorities, and communicating with senior people; success in your role will see you balancing simultaneous tasks, coordinate arrangements and manage priorities. In doing so you will enable our managers to concentrate on their core responsibilities and ensure the Quality and Professional directorate is delivering results to improve patient outcomes at YAS.

You will be a main point of contact for senior leaders from both internal departments and external organisations (e.g. Clinical Commissioning Groups, Acute Hospital Trusts, Private Sector Partners, and Others). You will receive both verbal and written details of important and potentially confidential NHS information, reports, documents and invitations for our senior managers to attend. You will need excellent communication skills and be able to speak confidently and effectively with all levels of staff to represent our team.

A varied and often high-paced job environment, it is essential that you have great time management skills – keeping on top of your own work whilst also managing others. You will need to be competent in the use of computerised systems (e.g. Word, Excel, and Microsoft Office). The successful applicant must also be able to work on their own as well as part of a team and be able to use their initiative.

You will report to the Nursing and Patient Experience Coordinator, who will take responsibility for your management, development and support in the role. On occasions they, or others in the team, may ask you to complete additional work, for example; producing accurate written documents from workshops, to then present back in an appropriate format for distribution.

Essential criteria
  • • Minimum 5 GCSE or equivalent at grade C or above including Mathematics and English
Desirable criteria
  • • Recognised project management qualification (eg PRINCE)

Experience

Essential criteria
  • • Experience of working in an administrative or support role within a programme/project management team.
Desirable criteria
  • • Experience of working in the NHS or public sector environment

Skills

  • • Excellent organisational and planning skills
  • • Able to meet deadlines whilst managing others’ expectations and conflicting priorities
  • • Able to analyse and interpret detailed information.
