Job overview
The Business Support Officer will provide efficient and effective business and administrative support to the GU. The role is based in the GU Policy and Strategy team and will provide business support to this team, and where required to the wider GU. This may include diary management, email management, travel arrangements, document creation, production, management and meeting and event coordination and some project support work on behalf of the GU.
NHS England established a Genomics Programme coordinated and led by the Genomics Unit (GU) . The GU is in the Finance, Commercial and Specialised Commissioning Directorate and will work with all Directorates across NHS England to deliver the overall programme of work. The GU is responsible for the development of NHS England’s strategies and policies for genomics and related issues such as personalised medicine, working closely with relevant National Clinical Directors, Chief Professional Officers and their teams, national Medical Director
The GMS established in October 2018 is world leading and is the first healthcare system in the world to implement Whole Genome Sequencing (WGS) into routine care. This builds upon the NHS contribution to the 100,000 Genomes Project (the Project) and encompasses ongoing genomic projects inclusive of those emerging from the Life Sciences Industrial Strategy (LSIS) and those genomic projects linked to research and development both nationally and internationally.
Main duties of the job
The post holder will:
- Provide high quality project, service, initiative and administrative support including information and analysis
- Undertake reporting and analysis of information to support delivery
- Develop and implement robust work processes and systems to ensure appropriate and timely responses to all relevant correspondence;
- Screen emails and alert appropriate team members to urgent requests;
- Handle routine correspondence, draft routine responses and ensure that all correspondence is typed accurately and in a timely manner;
- Organise documents and maintain electronic files as required;
- Field telephone calls and take messages, sometimes sensitive and confidential, ensuring that messages are relayed accurately and promptly and, if possible, resolve simple queries;
- Organise meetings and events including inviting and explaining arrangements to others, managing travel arrangements and distributing papers;
- Proactively arrange business travel and overnight accommodation where required, obtaining the highest quality for the most cost-effective price;
- Printing and photocopying as required;
- Provide administrative support across the Genomics Unit when requested (including minute-taking, presenting MS Teams slides);
- Occasionally provide secretarial and administrative cover for colleagues within the GU.

Colleagues with a contractual office base are expected to spend, on average, at least 40% of their time working in-person.

- Educated to Degree level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
Knowledge & Experience

- Significant previous experience in a senior administrative role
- Understanding of the Genomic Medicine Service
- Advanced knowledge and experience of Microsoft Office software applications (Word, Excel, Powerpoint, Outlook etc.)
- Advanced knowledge and experience of using NHS England systems (Redfearn, Condeco, Oracle etc.)
- Knowledge of administrative procedures, project management or information analysis
Skills and Capabilities
