Job overview
The Medical and Dental Future Workforce Team, within Postgraduate Medical and Dental Education, works across the Midlands to support a wide variety of stakeholders - including resident doctors (doctors in training), Supervisors, NHS Trust staff in Medical Education and others.
Our business includes the provision of support to Postgraduate Schools in Foundation and Secondary Care (hospitals). This includes the preparation and management of an annual School Business Plan for each of our 25 Schools, supporting Board Meetings, event management and commercial activities.
There are four Co-ordinator roles in the team, each supporting a defined area including line management of one or two staff. You will have excellent leadership and management skills, be highly organised and an be excellent relationship manager - so a great communicator.

Main duties of the job
You will be responsible for the delivery of key business objectives, on time and to a high quality.
You will be responsible for the in-year management of School Business Plans, delegating appropriately to the Administrators supporting you. This role will include many aspects including financial management, event support, relationship management, line management.
You will work to a high standard of performance and behaviour, leading by example. This will include providing direction and support to the staff within your part of the team and working with others across the wider team to ensure business delivery in all our team areas (eg provision of cover where necessary so the team's objectives are delivered).
You will be an excellent communicator, both written and verbally - confident to build and maintain excellent working relationships within the team and with our stakeholders. You will be solutions-focussed, manage your time well and be able to lead and inspire those around you to achieve excellent results.
With the Deputy Managers and the senior staff, you will meet to discuss and review team performance, staff development and business delivery.

Detailed job description and main responsibilities
From the Job Description
The Coordinator will be a point of contact for Heads of Schools in a number of Schools relating to activities including:
- Procure external providers and Trusts to run training events for the school.
- Provide advice at School Boards on behalf of the Postgraduate Dean
- Ensure that their workstreams/programmes are planned and managed effectively and take the lead in assisting in their successful delivery. The role specifically manages the development and provision of specialty specific services across a number of Postgraduate Schools. The role involves working closely with the Heads of Schools, as well as linking with key stakeholders across the Midlands.
- Much of the information received into the team is complex, from multiple sources and is partial, or unclear. They will need to assess the information provided to identify gaps and inconsistencies before acting upon it. An ability to analyse information and see patterns and errors in data will be needed. They will be required to work with and contribute to the development of processes within the team as we are keen to avoid duplication, and work with IT based solutions, streamlined to maximise efficiency.
- They will be working on multiple projects and workstreams throughout the year, some of which are complex and long-term ie, 12-18 months duration. As there will be many workstreams to manage during the course of a year, they will need to manage their time effectively and work with appropriate colleagues supporting similar projects. Where necessary, plans will need to be adjusted in line with other team requirements and they would be expected to manage the adjustments autonomously, however ensuring that their manager and stakeholders are kept up to date with the adjustments.
- Liaise with appropriate functions within the local offices and with key external stakeholders.
- Manage all reporting, relating to the relevant specialty School.
- Work with Heads of Schools and other team members on the management of School Business Plans.
- Ensure that business activities are managed and undertaken as specified, including the management of staff aligned to the role holder, management of events organised and run on behalf of School and the recruitment of educators.
- Participate in the co-ordination of training and development and recruitment activity across the Team. Manage staff, undertaking appraisals, recruitment including progressing any disciplinary or capability issues, as necessary.
- Support the Deputy Managers with project work linked to the team’s core functions (eg, procurement of teaching providers).
- The above is only an outline of the tasks, responsibilities and outcomes required of the role. The job holder will carry out any other duties as may reasonably be required by their line manager.
- Whilst working within established processes and following NHS England policies, the role holder will be expected to exercise personal judgement in order to meet team and organisational objectives.

- Educated to postgraduate level in a relevant subject or equivalent level qualification or significant experience of working at a similar level in specialist area.
- Evidence of continued professional development demonstrating a breadth of knowledge of management and financial skills relevant to the job and organisation
