Probationary Period

All new staff to the Trust will be subject to a standard 6 month probationary period, the details of which will duly follow in your contract of employment.

Agile and Flexible Working

All our staff will have a work base. However the Trust operates as an Agile Working Team therefore staff may be working from home on a regular basis as required by the service. However, occasionally travel around Warwickshire and into your base will be required so access to your own transport would be helpful.

Job overview

An exciting opportunity has arisen for a motivated individual to join the Governance Team within the Compliance Unit.

The successful candidate will be a highly motivated, enthusiastic individual who is able to work as part of the team and also independently. They will have advanced skills in the use of IT packages, in particular Microsoft Excel and Word, but also Teams, Outlook and PowerPoint.  They will have excellent communication and interpersonal skills. The workload will be varied and they will be able to manage any change in priorities.

Main duties of the job

The post-holder will be working in the Compliance Unit as a member of the Governance Team

To co-ordinate evidence collection and quality inspections to demonstrate that the Trust is delivering high quality patient care

To produce evidence through audit, data analysis and monitoring of action plans to ensure the Trust can demonstrate compliance with its policies, procedures and guidelines

Detailed job description and main responsibilities

 Key Result Areas:

Working to an agreed audit programme implement audit through involvement in design, analysis, data collection, report preparation

Collect audit evidence relating to the completion of documentation in all ward/clinical departments, producing an audit report for managers

Communicate data analysis and interpretation, orally and in writing, to ward/departmental managers

Produce evidence of compliance with Trust standards, policies and procedures

Work with the nominated audit leads to develop audit criteria, undertake audits to monitor compliance with the policies and procedures and develop action plans to improve compliance

Work with the leads to develop audit criteria, undertake audits to monitor compliance with the Standard and develop action plans to improve compliance

Working with leads to support the collection of non-clinical evidence for the CQUIN elements of the CCG contract

Under the guidance of the Quality Support Manager monitor Trust-wide and local action plans, liaising with the owners to ensure that time scales are adhered to

Under the guidance of the Quality Support Manager monitor action plans, highlighting when actions are not being met by the action date and ensure that they are reported to the appropriate group/committee in the time frames agreed

Ensure that when compliance is dependent on multi-agency input that all parties are involved and deliver their part within the specified timeframe e.g. Hygiene Code

Under the direction of the Assurance Manager work with the leads of individual elements of multi-agency action plan to ensure that all elements are delivered within the specified timeframe

Support the Quality Assurance Manager to develop the Trusts Annual Quality Report

Prepare monitoring reports for committees and groups under the direction of the Quality Support Manager

To support the Quality Support Manager in the administration of the Department’s local data repository and ensure the use common and effective inputting processes

To use Hospital record systems to retrieve and update patient information for audit

To be point of contact and filter queries, on behalf of the Quality Support Manager

To communicate with a wide range of personnel internal and external to the Trust

Clerical and Administrative

Responsible for organising and planning own workload to meet service priorities; re-adjusting plans as situations change/arise

Maintain a record of audits undertaken 

Maintain a record of trust-wide and local action plans resulting from audits and monitoring of compliance

Assist with the development of governance documentation, producing it accurately and professionally in line with corporate style as required

Checking and editing documents as required ensuring accuracy

To service meetings on behalf of the Quality Assurance Manager: co-ordinate dates; book venues; prepare and distribute agenda and take minutes when required

Qualifications

Essential criteria
  • Good standard of general education (4 GCSEs or equivalent), including Maths and English language
  • Diploma in administrative practice or business management or equivalent knowledge
  • ECDL or equivalent IT qualification or experience

Experience

Essential criteria
  • Previous experience of working in administration at a senior level
  • Previous experience of working with complex data and producing reports
  • Audit tool design and development
  • Experience of working as part of Team
Desirable criteria
  • Previous experience of working in the NHS
  • Knowledge of NHS Governance and Quality framework
