Probationary Period

All new staff to the Trust will be subject to a standard 6 month probationary period, the details of which will duly follow in your contract of employment.

Agile and Flexible Working

All our staff will have a work base. However the Trust operates as an Agile Working Team therefore staff may be working from home on a regular basis as required by the service. However, occasionally travel around Warwickshire and into your base will be required so access to your own transport would be helpful.

Job overview

23 hours per week - Thursday & Friday 7.30am - 8pm

We have an exciting opportunity for a motivated, compassionate and enthusiastic Ward/Clinic Clerk that has an interest in Women’s Health and Early Pregnancy to join the existing team on our busy female surgical ward (Beaumont Ward) and the Emergency Assessment area EPAGU.  The ward is evolving becoming a more dynamic workplace which requires the correct applicant.

The ward has 14 In-patient beds, 2 of which are SDEC (Same Day Emergency Care) beds and attached to the ward is an emergency unit - EPAGU (Early Pregnancy and Gynaecology Assessment Unit). The ward/clinic clerk will be expected to work for Thursday and Friday 7.30am - 8pm. The successful candidate will work both on the ward and in the clinic throughout your shift.  

Gynaecology/Early Pregnancy experience is desirable and candidates must have a good understanding around sensitive subjects such as miscarriages. There are several support networks available, as a trust we endeavour to support new and existing staff members. It is also desirable to have previous administration experience and knowledge of the systems used within the hospital.

Main duties of the job

The role of the Ward Clerk role is multi-faceted. The Ward/Clinic Clerk provides support to the team and the unit manager in clerical duties, the daily running of the department and ensures that all support facilities are in place.

Detailed job description and main responsibilities

Main Duties

Answering any telephone enquiries in a polite and efficient manner

Filing results in patient files

Ordering patient files and notes

Ensuring that all patients have up to date VTE forms

Maintaining up to date information on the Trust’s computer systems (e.g. Healthroster, Lorenzo and Digit)

Liaise with other members of the multi-disciplinary team, such as secretaries, social services etc.

Requesting and obtaining patient records and x-rays

Booking patient transport as required

Booking and rescheduling patient appointments when required

Direct admissions to the ward

Photocopying, scanning and faxing documents as required

Provide clerical support to the Ward Manager

Deliver referrals to the relevant departments

Make any relevant follow up appointments for patients

Assist with lunchtime service

Log any maintenance work as when required

Demonstrates own work duties to new starters

Inputting Safecare data

Meet and greet patient and relatives in the ward and in the clinic

Input referral details onto Badger

Answer phone and take referrals in EPAGU

Input data onto Dashboards in the clinic

Restock and Order supplies for the ward/clinic

 

Service Improvement and Audit

To carry out ward based audits of aspects of patient care that relate to the role of ward administrator e.g. booking of procedures and outpatient follow up in order to improve the service provided to patients.

To provide clerical support to the nursing staff on the ward for audits that they carry out.

To carry out the coding of all the ad hoc/ward patients that are seen on the surgical unit and support the work of the coding department

Housekeeping Duties

To order stationary and general supplies to ensure the ward area is adequately covered

To ensure the nursing station/ward clerk area are kept generally tidy

Communications and Working Relationships

To communicate with others in a polite and courteous manner at all times

The post-holder will be expected to communicate with medical and nursing staff and also with patients, relatives, carers and other members of the public

The post holder should maintain patient confidentiality at all times

The post holder will be expected to act in accordance with all Trust policies and procedures at all times

Qualifications

Essential criteria
  • Must have basic literacy and numeracy skills
  • Can provide evidence of basic computer and keyboard skills
Desirable criteria
  • Must have knowledge of the patient admin system (Lorenzo)
  • 4 GCSE’s or equivalent

Experience

  • Previous ward clerk experience
