Job overview
An exciting opportunity has arisen for a procurement technician to join a fast paced and dynamic team supporting five outpatient pharmacies across Warwickshire and Coventry for SWFT Clinical Services (SWFT-CS). We are seeking a highly organised and detail – orientated individual that will play a crucial role in supporting the procurement function to aid in the smooth running of the outpatient pharmacies.
Main duties of the job
As a procurement technician you will play a key role in sourcing and procuring medications to meet patient needs whilst optimising costs and supply chain management. You will aid in ensuring our patients receive an efficient and high-quality patient experience, striving to deliver a safe, effective and caring service for patients and other service users.
Working for our organisation
SWFT Clinical Services is a wholly owned subsidiary of the South Warwickshire University NHS Foundation Trust (SWFT). The company provides a number of services such as outpatient pharmacy facilities at Warwick and Stratford and Nuneaton hospitals; estates and facilities management at Stratford hospital, Acorn House and Lillington Health Hub; private patient service and consultancy services to NHS Trusts.
Subject to the Company and individual’s performance, an annual discretionary bonus will be awarded.
There is automatic enrolment to the Company pension scheme, with the Company contributing 5%.

Detailed job description and main responsibilities
Undertaking the day-to-day procurement of the Pharmacies, which will include releasing orders, checking contract prices, receiving & checking off stock in accordance with Standard Operating Procedures
To manage short-term supplier ‘to-follows’ and longer-term medication shortages in line with company policies, ensuring continuity of supply
Ensures that paperwork is completed accurately and on time, communicates issues as appropriate, and attends meetings when required
To assist with National Patient Safety Alerts, medicine recalls and medicine notifications as required.
To ensure that stock returned to pharmacy is correctly assessed for re-use.
To dispose of medicines appropriately.
To be responsible for maintaining a clean and tidy work environment.
To support with daily stock checks, investigate anomalies and, where authorised, check stock levels, maintaining records as required.
To co-ordinate and record temperature measurements in the pharmacy and report any discrepancies to line manager.
Offers suggestions to improve the way we work utilising best practices.
Being made accountable for certain aspects of the role at the request of the line manager.
Maintain excellent working relationships and good communications with patients and Trust employees. Contributes to the teamwork ethic so enabling the best possible service and care to patients
To ensure confidentiality of commercial and clinical information which may related to patients; staff; Company policies; prices; business information, and takes into account requirements of the General Data Protection Regulation 2018 and Freedom of Information Act legislation
Manages their own personal training and development
Any other relevant duties and training requirements at the request of the line Manager.

To assist in the collection and reporting of departmental Key Performance Indicators (KPI’s)
The contact point for all robot maintenance. Maintain re-boots of ARIM and the robot, shelf maintenance and general IT.
Knowledge skills and experience required:
Essential
GCSE at C grade in Maths and English Language
Pharmacy Technician course with an approved provider
Previous procurement experience
Previous outpatient pharmacy experience
UK Pharmacy dispensing experience
Desirable
Knowledge on Wellsky/CMM computer system.
Ability to travel between sites if required
Staff Management Experience.
Communications and Working Relationships:
Engender a patient first culture across the organisation ensuring high standards of professional customer service are delivered at all times within the pharmacy.
To provide a liaison service between the Trust and suppliers to fulfil the patient need.
To effectively communicate and resolve queries, discrepancies and out of stock medicines.
To help train new members of the pharmacy team in the stock management processes and procedures.
To communicate with relevant external agencies appropriate to Pharmacy Procurement & Stores, such as licensing bodies.

- Proficient use of Microsoft Office packages (Outlook, Word, Excel etc.).
- Accurate data entry skills.
