Job overview

Business Support Officer, Band 3, Full Time Monday to Friday 9am – 5pm based at The Manor Site in Nuneaton, with the option of home working once trained.

 

We are seeking an organised, self-motivated and enthusiastic individual with a positive outlook to provide effective administrative and information support to Clinical Team Managers on a daily basis.

Main duties of the job

The successful candidate will need to be resourceful, flexible, have excellent communication and organisational skills with the ability to work independently in maintaining effective record keeping by inputting and processing clinical and non-clinical data and submitting statistics using electronic information systems.

Detailed job description and main responsibilities

The post holder will need to work on their own initiative, with the ability to prioritise and manage competing demands, confident in problem solving and making informed decisions, attention to detail and effectively recording accurate data in a timely manner is a key requisite of this post. 

The post will be varied and include, diary management, organise and coordinate routine and urgent meetings, room bookings, minute taking, managing the recruitment process via TRAC, organising and recording supervisions and PDRs and updating ESR, maintaining e-rosters with annual leave requests and sickness reporting.

Applicants will need to be computer literate in the use of Microsoft word/outlook and experienced in using Excel spreadsheets will also be an advantage.  Being able to demonstrate proficient use of TRAC and ESR/e-roster systems will be beneficial, but not essential as training will be provided.

Although the Business Support Officer post will be part of the overall admin team based at the locality, they will have very limited patient access and dedicated to the requirements of the Clinical Team Managers on a day-to-day basis, but line managed by the Locality Admin Co-ordinator, who will provide training, supervision and appraisal reviews.

This role requires you to help improve the efficiency and effectiveness of clinical services and we are looking for individuals with a positive approach to change and supportive of service improvements.

Essential criteria
  • Good General Education (eg. GCSE English and Maths A-C)
  • QCF Business Administration Level 2 or equivalent qualification / experience/ willing to work towards completion of this
  • QCF Customer Service Level 2 or equivalent qualification / experience/ willing to work towards completion of this

Knowledge & Skills

Essential criteria
  • Excellent communication / customer care skills both written and verbal demonstrating sympathy and compassion
  • Advanced keyboard / IT skills Including audio typing
  • Ability to manage and prioritise own and other’s workload and use own initiative
  • Good organisation skills and ability to multitask
  • Good time management skills
  • Ability to take and transcribe notes of meetings in a timely manner
  • Ability to maintain relevant recording and information systems
  • Understand confidentiality and apply the principles in every day working practice
