Main duties of the job

Responsible for the management of the service’s controlled Non-Medical Referrer process;

Development and Administration of Non-Medical Referral Protocols

Liaising with senior clinical staff, AHP’s and Nurses as well as GPs / consultants in the development / review of NMR protocols. Escalating exceptions only to Radiographers and Radiologists.

Liaising between referring clinicians and senior Radiology clinical and Medical staff to ensure referring examinations are justifiable before protocol is submitted to Radiology QIPS

Detailed job description and main responsibilities

Ensuring new and reviewed protocols are submitted to Radiology QIPS in timely manner and once approved registered on Radiology Approval Register and uploaded to e library.

Facilitating training and enrolment process for new NMR’s.

Ensuring compliance to Trust IRMER procedures and NMR protocol and administration of appropriate measures for protocol breaches under guidance from appropriate IRMER Practitioner (Senior Radiographer).

Communicating directly with referrers in the event a request is rejected due to non-compliance to protocol, notifying them of the breach in protocol and ramifications under Trust IRMER procedures.

Escalating to Governance Superintendent in the event repeated protocol breaches require a referrer’s entitlement to be removed

Pre-checking of Non-Medical referrals to ensure entitlement of referrer prior to scheduling of examination appointment

Responsible for the management of the departmental Radiology Approval Register ensuring all documents are accurately and appropriately updated and archived.

Management / Development of process which monitors activity for Non-Medical Referrals and report changes in activity levels through to senior management.

Act as a senior point of contact for filtering and dealing with all enquiries, complaints and requests for information in regards to the Non-Medical Referral process.

Provide specialist administrative services such as: electronic CRRS diary management and appointment scheduling, in relation to the Radiology Non-Medical referral process.

Supporting Lead radiographers in follow-up DATIX submissions and actions in the event of a protocol breach.

Supporting Lead Radiographers with investigations, in the event a radiation incident occurs following a referral from a NMR.

To support the Governance Admin Coordinator and / or provide cover in their absence in tasks and duties such as;

Producing agendas and taking notes of meetings for departmental groups such as Radiology QIPS, Health & Safety, Risk Management; and in support of other operational meetings such as Business Unit Meetings  in the absence of Governance Admin Coordinator

Representing the Governance Team when appropriate and as requested.

Undertaking project work as directed e.g. Collating, inputting and monitoring department documentation and information to assist with the production of operational and Governance reports for the department.

Collating, reviewing and inputting data into the departmental filing systems and databases such as the complaints database and the departmental training matrix, ensuring all documents are accurately and appropriately updated and archived.

Assist with training new team members in Trust operational systems and department procedures.

Communicate with staff, patients and/or external organisations using appropriate methods.

Maintain an efficient and comprehensive administrative service, including photocopying, providing support to the departments and other team members as requested.

Prioritise daily tasks to achieve timescales set.

To attend mandatory training sessions.

Utilise relevant Trust IT systems, as determined by the role, ensure all relevant patient data is collected and input accurately in line with Trust guidelines. These systems may include PMS (iPm from June 2007), CRRS, Opera, CRIS, Ultra, Respond, IMPAC etc.

Continually contribute to patient and business improvement Agendas. Share ideas for potential service improvement
