Job overview

The Support Officer (Patient Safety & Risk) will provide a comprehensive administrative support for the Patient Safety & Risk Team within the Quality Department, in accordance with departmental, Trust and national standards, policies and procedures.

Main duties of the job

· Providing assistance with the administration and delivery of a range of comprehensive patient safety and risk activities including, incident reporting, patient safety investigations, patient safety alerts, and risk management.

· To support the patient safety and risk team in developing administrative operational systems, processes and policy to support programme delivery.

· Provide advice and guidance to health and other professionals for enquiries directed to the patient safety & risk team.

· Liaising with trust staff to ensure engagement with and delivery of patient safety & risk activities.

Detailed job description and main responsibilities

• Facilitate all internal communication processes in relation to patient safety and risk ensuring all enquiries are effectively managed and successfully resolved within a prompt timescale.
• Liaise and effectively communicate at all levels using written, oral and electronic methods to publicise activities; using tact and sensitivity to deal with difficult issues as required.
• Liaise with a wide variety of stakeholders to enable the delivery of a timely and comprehensive patient safety & risk programme.
• Provide high level administrative support to the patient safety and risk team, by assisting with aspects of activities including incident reporting, investigations, alerts, data collection, analysis, report preparation and dissemination of outcomes, as instructed and in line with the grade and nature of the post.
• Carry out ad-hoc analysis of data as requested by staff throughout the Trust ensuring an understanding of the data provided and advising of its appropriate use as needed.
• Develop and sustain systems and processes to allow the Trust to monitor and measure its assurance against external standards pertinent to the role and functions of the team. 
• Support the head of patient safety in co-ordinating responses to internal and external stakeholders e.g. outlier alerts, assurances.
• Maintain high data quality standards by ensuring that data entered onto Trust and external systems is accurate, complete and up to date.
• Responsible for the implementation and maintenance of efficient office management systems/procedures to enable the function to deliver efficient and effective services.
• Manage time and workloads across the different aspects of the role, ensuring internal and external deadlines are met.
• Develop an understanding of patient safety and risk activities becoming experienced in methodology and facilitation.
• Develop and maintain systems and processes for the management of patient safety and risk documentation, such that it is up-to-date, maintained in an orderly fashion and available whenever decisions are being made, reporting exceptional circumstances where necessary.
• Compile and disseminate information to support patient safety and risk developing a range of presentational and reporting styles, including maintenance of any intranet website information.
• Obtain information from internal and external sources to improve the robustness of patient safety and risk activities.
• Provide support in the delivery of training activities, including arranging dates, venues, booking attendance and publicity to relevant staff throughout the trust.
• Support the Head of Patient Safety by facilitating and preparing training materials.
