Coventry and Warwickshire Partnership NHS Trust has an exciting opportunity now available and we are looking for an enthusiastic, dynamic individual to line manage and co-ordinate the administrative staff functions within the Community Metal Health Team in Swanswell Point.  You will need to be self-motivated with excellent communication and organisational skills to apply for the role of Admin Team Coordinator  based at Swanswell Point, Coventry. 

Main duties of the job

The post holder will need to provide oversight to the roles of the administrative staff in the provision of a comprehensive administration & data co-ordination support service, supporting the Senior Admin Lead.

You will be acutely aware of maintaining confidentiality and you will be used to managing many competing priorities on a daily basis. We are looking for individuals with a positive approach to change who are supportive of service improvements.

Detailed job description and main responsibilities

The role is pivotal in line managing admin support across the site; therefore it is essential you have previous experience of line managing staff and you also need to be competent in delivering advice and support to staff.  You will be expected to use your own initiative and able to work unsupervised, undertaking specific project work as necessary.  You will be expected to plan and manage a range of complex duties, organise own work and that of others to meet deadlines and respond professionally to enquires both internally and externally to the organisation.

You must be able to build effective working relationships, be approachable and accessible to support the Senior Admin Lead in terms of effective management/use of admin support, buildings and the provision of services from them.

Qualifications

Essential criteria
  • Good General Education (eg. GCSE English and Maths A-C)
  • QCF Business Administration Level 3 or equivalent qualification / experience/ willing to work towards completion of this
  • QCF Customer Service Level 3 or equivalent qualification / experience/ willing to work towards completion of this
  • QCF Team Leading Level 2 / First Line Management Level 3 or equivalent qualification / experience/ willing to work towards completion of this

Knowledge and Skills

Essential criteria
  • Articulate with excellent communication / customer care skills both written and verbal demonstrating sympathy and compassion
  • Advanced keyboard / IT skills
  • Ability to manage and prioritise own and other’s workload and use own initiative
  • Ability to work autonomously
  • Excellent organisation skills and ability to multitask
  • Excellent time management skills ability to prioritise conflicting demands in order to meet deadlines
  • Excellent knowledge and understanding of reception / office procedures
  • Ability to take and transcribe notes of meetings in a timely manner

Experience

  • Competent working with a range of Microsoft Office packages (eg. Word, Excel, Outlook, PowerPoint and Access)
  • Experience of working in a busy office / customer care environment
  • Experience of working in a supervisory role and delegating work
