Job overview
We are looking to recruit a full time administration assistant to work Monday to Friday 9am to 5pm. Currently based at Wellfield clinic on the Hopewood park site but will move to Monkwearmouth hospital.
The post holder will work on reception as the first point of contact and will provide admin support to the clinical team and throughout the service as in agreement with the Admin Manager.
This position is:
- 37.5hours per week
- Permanent
- Office based - Remote working cannot be considered
The purpose of this role is to provide front-facing duties, providing the main point of contact for visitors. A high-level of customer care skills both face-to-face and over the telephone is crucial to the success of this role. This front-end service is fast paced so the appointed candidate must be willing to work under pressure.
The post holder will be supported and trained by experienced administrative staff and work closely with the PWC.
The post holder will report directly to the PWC and admin lead, but will work closely with the wider administrative team in ensuring the day-to-day deliverables are met.

Main duties of the job
You will work alongside an experienced Admin Assistant, Admin Officer and PWC to learn the role and the post holder should have:
- Experience of providing reception duties.
- Experience of call handling in a busy environment - It is critical that excellent customer service is delivered in person or over the telephone.
- Good organisational skills.
- Be able to prioritise a fluctuating workload.
- Proven experience of working with Microsoft packages.
- A working knowledge of electronic record systems.
- Diary management skills.
- To meet the mobility requirements for this role as outlined in the job description.
The post holder will work as part of a team of administrators and will work closely with a range of clinical staff from the service.

Qualification
Essential criteria
- Good general level of education up to Level 1 standard in English Language and Maths.
- Intermediate (Level 2) Typing/Word processing qualification and/or relevant demonstrable experience e.g. 12 months experience.
Desirable criteria
- NVQ Level 2 in Business Administration.
- NVQ Level 2 in Customer Service.
- Working towards Level 2 standard in Maths and English.
Skills and Knowledge
Essential criteria
- Working knowledge of Microsoft applications including Outlook, Word, Excel and Power Point.
- Able to input data accurately and efficiently.
- Undertake repetitive tasks whilst maintaining attention to detail.
- Good communication and interpersonal skills, both verbal and written, face-to-face and non-facing customers.
- Demonstrates good customer care skills at all times.
- Good working knowledge of office procedures.
- Good organisational and planning skills using own initiative.

- Experience of carrying out administrative tasks, e.g., data input, receiving and making telephone calls.

- Experience of working in an NHS/health care setting.
- Experience of processing NHS/health care documentation.
- Experience using stock ordering and/or petty cash systems.
- Experience of working with paper-based and electronic filing systems.
