Job overview

Northumbria Primary Care are looking to recruit a Secretary to The Management Team based at Northumbria Healthcare Innovation Hub. 

The main focus of this role is to provide efficient secretarial support to NPC's Senior Management Team. The successful candidate will be based at Northumbria Primary Care Innovation Hub at Seaton Deleval. The successful candidate may be required to travel to other sites within NPC as per job requirements.

Main duties of the job

  • To provide an efficient secretarial support service to NPC’s Senior Management Team.
  • Develop systems which will enable managers to work effectively and efficiently.
  • Maintain staff personal files including ESR and HealthRoster.
  • Maintain complaints records in line with Governance requirements.
  • To provide efficient data entry to maintain information systems, record and store formal meeting minutes.
  • To follow existing policies and procedures and manage the Policies and SOPs index across the organisation.
  • To undertake surveys and audits across the organisation.
  • To plan and organise diaries, arrange meetings and book venues as directed by NPC’s Senior Management Team.

Detailed job description and main responsibilities

  • To play a key role in communication between the Directorate management team
  • To provide and maintain an efficient secretarial administrative service to NPC’s Senior Management Team.
  • To manage the administration of all personnel within Northumbria Primary Care.
  • Fully participate and actively contribute to the efforts of the team to achieve the highest quality service.
  • Provide indirect support to the Senior Management Team for site based activities.
  • To manage the Policies and SOPs index across the organisation.
  • To produce and maintain organisational data as and when required.
  • To analyse information to resolve problems, such as diary commitments.
  • To provide or receive complex information in relation to patient care.

Qualifications

Essential criteria
  • Typing and Word Processing skills
  • Knowledge of secretarial or administrative procedures and systems, some of which are nonroutine, and non-routine activities such as answering queries, progress chasing, task-related problem solving, acquired through experience and training to Vocational Level 3 or equivalent
Desirable criteria
  • ECDL
