Job overview
The Estates Directorate are seeking a highly motivated and diligent individual to work in a demanding yet rewarding role within the Transport Department.
The successful individual will support the department in achieving high levels of customer service to staff, patients and visitors in areas of car parking, taxi management, courier service provision and responding to a range of queries and supporting other departments wherever necessary.

Main duties of the job
The Transport Department is required to support many functions within the Trust, and you will need the skills to learn and use multiple software packages, be able to communicate with confidence verbally and in writing, be organised and able to manage with a high workload and conflicting demands.
The individual will be required to provide administration and monitoring of financial transactions externally and internally for car parking, taxis, courier, hopper and other transport services provided within the Trust.
You should feel comfortable collecting data, analysing problems and supporting delivery of key transport services whilst ensuring tight financial controls and continuously seeking improvements.
The individual will be required to have a very good working standard of Microsoft word and excel and will be supported with further development opportunities and want be part of a team supporting sustainability measures to reduce emissions and be a key part of improved services and greater efficiencies.

Detailed job description and main responsibilities
You should have excellent communication skills and organisational skills gained through previous experience in an administration background, a proven knowledge and understanding of Office IT packages with a high standard of Microsoft Excel (or equivalent experience).
You will be required to support the wider Transport Team with the development of other projects which will require your knowledge and skills to ensure new systems and processes work to support effective transport services within the Trust.
The job exists to provide administration and monitoring of financial transactions externally and internally for car parking, taxis, courier, hopper and other transport services provided within the Trust
- To provide administrative support for the Trust’s Transport Department within Estates and Facilities Directorate.
- To be responsible for ensuring all income for car parking is collected via payroll, direct debit or invoicing and minimise risk of bad debt.
- To ensure timely and accurate reconciliation of car parking income, taxi and courier invoices and any other transport costs
- To establish robust monitoring systems to ensure taxi, courier and other transport services are operating within the agreed Key Performance Indicators (KPI’s) of Service Level Agreements (SLA’s)
- To liaise with Directorates and key personnel internally and externally to ensure agreed processes and support to meet monitoring requirements.
- To provide accurate advice to staff on salary sacrifice and support increased participation in schemes.
- To provide regular detailed financial information and monitoring reports to Financial Management and Senior Transportation Lead as required in a timely manner.
- To assist in development of systems and processes which reduce taxi usage and increase efficiencies in transport of staff and courier based items.
- To extract relevant information and reports from the Electronic Staff Record (ESR).

Essential criteria
- Administrative skills and knowledge to at least NVQ level 3 or equivalent qualification / experience
- Microsoft Excel (Advanced Certification)

Essential criteria
- Previous experience in the Finance Department of a busy organisation and previous administrative experience
- Proven Microsoft Office experience
- Experience of managing small projects
- An understanding of NHS Policies, Payroll Services and HMRC Guidelines in respect of Finance, VAT and Salary deductions
Desirable criteria
- Knowledge of Electronic Staff Record (ESR) and NHS Finance
- Previous experience of salary sacrifice schemes
- Previous experience of NHS financial processes
- Previous experience of promotional work through delivering • Website updates • Presentations & promotional material
