Job overview

We are looking for an enthusiastic, highly motivated and forward-thinking individual to undertake the role of Clinical Administrator within the Medicine & Emergency Care Clinical Board at the Newcastle upon Tyne Hospitals NHS Foundations Trust.

This administrative role, based within Dermatology/Rheumatology/ Gastroenterology Departments, involves working closely with medical, nursing staff and Pharmacy Homecare Medicine Team.  The post holder will be responsible for being the point of contact for patients under the above services with regard to their Homecare Medications and maintaining the Homecare medicines database.

The post holder must be able to work independently and follow the policies and procedures for the department.  The successful candidate will be able to demonstrate excellent communication skills, flexibility, reliability and must have an organised approach to work.  Previous experience in an administrative role is essential.

This is a role with lots of variety and ad-hoc demands and provides the opportunity to work within a very supportive and welcoming team and to further develop existing knowledge and skills.

Main duties of the job

The post holder with be responsible for maintaining patient homecare medicines databases.

Postholder with have experience working in administration with experience of database work.

Detailed job description and main responsibilities

  • Working within a team of administrative staff to provide a comprehensive support service to Consultants, Medical Staff and other clinical members of their team eg Specialist Nurses
  • Communicate with patients, specialist nurses, pharmacy and pharmacy Homecare Team regarding patients’ homecare medications.
  • Maintain database of homecare patients for Dermatology, Gastroenterology, Rheumatology and Endocrinology services.
  • Provide cover for Team Leader within your administration team as required
  • Cover Clinical Administrator posts Trust wide as required.

Qualifications & Education

Essential criteria
  • Level 3 qualification in administration or equivalent/relevant experience in administrative role(s)
  • English qualification at Level 2 (GCSE Grades 9-4 or A*-C, or Functional or Key Skills at Level 2)
  • Maths qualification at Level 1 (GCSE Grades 3-2 or D-F, or Functional or Key Skills at Level 1

Knowledge & Experience

Essential criteria
  • Experience of secretarial/administrative procedures
Desirable criteria
  • NHS Administration/Secretarial experience
  • Knowledge of medical terminology

Skills & Abilities

Essential criteria
  • IT Skills to include MS Office software packages e.g. Microsoft Word, Excel, Outlook and PowerPoint
  • Advanced keyboard skills including a high standard of word processing skills
  • Excellent communication skills
Desirable criteria
  • Working Knowledge of NHS Systems e.g. eRecord, System One
