Job overview
This exciting Senior Admin Lead position has become vacant at NPC Amble and Broomhill. We are looking for someone who has a passion for Primary Care and Leadership and willing to work in a rural practice but also be part of the bigger Northumbria Primary Care group.
The successful candidate will support the Practice Lead with operational management to ensure a high quality service for patients. The candidate will work with the North Neighbourhood in NPC at a new and exciting time of transformation and working more closely together.

Main duties of the job
· To provide and be responsible for the day to day management of the reception and administrative staff.
· To provide comprehensive admin service to GP’s and other health care professionals in their team.
· To allocate work and supervise other admin staff
· To actively participate in the improvement of procedures and developments in primary care involving administrative and reception support
· To actively engage in patient experience initiatives which involves appropriate communication between staff in all NPC sites
· To role model compassionate and inclusive leadership in order to shape the creation of a collective leadership culture within the trust. This means demonstrating a consistent leadership style which (a) engages, enables and empowers others (b) uses coaching to promote ownership of learning and quality improvement and (c) facilitates team working and collaboration within teams / departments and across organisational boundaries.

Whilst appointees will have a base practice within NPC, they may be asked to work at other practices across our group. We do however limit this as much as possible as we appreciate continuity is vital to effective primary care.

Detailed job description and main responsibilities
· Responsible to Practice Lead
· Act up in absence of Practice Lead for periods of annual leave/short term sickness
· Day to day supervision for reception/administrative staff ensuring provision of a high quality service
· Provide comprehensive administration service to GP’s and other health care professionals
· Manage diaries/appointments, arrange/minute meetings, communication with GP’s and patients
· Advanced typing & transcription of clinical and non-clinical documents (OCR 3 or equivalent qualification/experience)
· Support effect utilization of clinic capacity
· Support management of patient journeys including target administration e.g. GP referrals, Cancer 2WW and communications to GP’s
· Support Practice Lead with induction/training of new staff, sharing knowledge with colleagues and supervising Apprentices when required
· Resource management – ordering of supplies and equipment
· Allocate and manage training and work patterns within reception services

Qualifications
Essential criteria
- Significant experience at Admin Lead level in primary care environment
- Education to vocational level 3 or equivalent experience plus in depth knowledge of practice operational procedures and practice IT systems and workflows
- RSA 3/OCR (or equivalent) or equivalent or relevant typing/word processing experience
- IT skills in the use of Microsoft products (Word, Excel etc) + EMIS/SystemOne
Desirable criteria
- GCSE English Language grade C or above or equivalent qualification
- Knowledge of Medical Terminology & procedures
Experience
Essential criteria
- Proven ability to drive through change and introduce new ways of working with experience of change management
- Excellent communication skills and ability to lead a small team
Desirable criteria
- Ability to analyse administration systems, implement change as directed and evaluate effectiveness in order to promote quality services
