Job overview

East Cumbria Community Treatment Team (CTT) Administration Services. 

An opportunity has arisen for a part-time (30 hours per week) permanent B4 Medical Secretary join our transforming East Cumbria CTT. This is an exciting time for North Cumbria Adult Mental Health Services which are undergoing transformation works as a pioneer team in CNTW and as such administration services are contributing to this NHS long-term plan, this position would be ideal for organised, responsive and motivated individuals who are committed to supporting our medical personnel. 

This post could provide an ideal development opportunity for those wishing to take their next step within NHS administration and would like to learn further skills. This post will provide training and development opportunities - the service is committed to upskilling our workforce via CNTW Academy. 

Full support will be provided by experienced staff onsite and the candidate will have access to peer support. This is a senior role and the post holder would be required to assist the Administration Team Lead/Pathway Coordinators with the day-to-day management of the workflow within the service to support and train administrative colleagues as required. 

Please note there may be occasions when you are requested to travel to one of our other North Cumbria bases or provide remote working to provide support and/or cover for absent colleagues this is to ensure we have sufficient cross-cover in the teams. 

Main duties of the job

The post holder will provide a proactive, comprehensive secretarial service and support to allocated Consultants and Medics within the service. 

The post holder will be able to evidence: 

  • Excellent verbal and written skills and communicate professionally and effectively at all levels.
  • To be confident in prioritising and negotiating conflicting workloads and managing time accordingly.
  • Evidence exceptional organisational skills, a flexible approach to work, experience of accurate high-volume minute taking and reliable diary management.
  • Proficient audio typist.
  • Experience as a medical secretary or equivalent.
  • Reliable diary management – Proactive in addressing minor conflicts and problem focused in suggesting potential solutions.
  • Proven experience of working with Microsoft Office packages and excellent keyboard skills
  • Effective minute taking skills and ensuring all actions are acted upon this may include live typing. 
  • Ability to be self-directed, motivated and able to contribute positively within a team.
  • Strong organisational skills and structure day-to-day tasks.
  • Demonstration of flexibility in the role.   
  • Desirable: A working knowledge of electronic patient record systems (i.e. RiO) – Training will be given.
  • Desirable: The successful applicant must be able to meet the mobility requirements of the role, therefore a current driving licence and access to a car is desirable

Education and Qualifications

Essential criteria
  • RSA Level III/OCR3 in Text Processing/NVQ 3 in Business and Administration (including text preparation) plus knowledge acquired through further experience
  • Educated to O-Level / GCSE standard

Knowledge and Experience

Essential criteria
  • Working knowledge and experience of Microsoft applications (minimum 1 year)
  • Knowledge and understanding of relevant medical terminology
  • Working knowledge of Patient Information Systems, e.g. RiO
Desirable criteria
  • Experience of using stock ordering and reporting systems
  • Working knowledge of CPA, Mental Health Act and Safeguarding documentation and procedures
