Job overview
An exciting post for a Team Secretary has become available within the Mental Health Division in our Local Primary Mental Health Service.
The post holder will be responsible for updating databases on excel or equivalent systems as directed and will assist in collation and analysis of information to provide a comprehensive, efficient and effective high quality service and will.
Be first point of contact ensuring a professional and positive attitude at all times.
Facilitate, taking minutes and preparing all relevant paperwork. Produce accurate and well presented correspondence, reports, minutes and other material as appropriate.
Main duties of the job
To undertake general office duties as and when required. including tasks such as managing emails, photocopying, dealing with telephone enquires, providing secretarial cover during periods of absences.
The post holder will communicate with the team on a regular basis as well as third party agencies families and patients.
Organise and plan daily schedules, dealing with sensitive and confidential information appropriately, and utilising diplomacy at times.
Maintenance of office diaries including the organising of internal, multi directorate, multi-agency, and multi partnership meetings venues. Attendance of meetings and minute taking and identify items which require follow up and action and refer to the appropriate person.
Attend team brief and other meetings. Prepare papers, record and transcribe minutes of meetings as required.
Assist in undertaking tasks to support their workload and reduce wherever possible and provide accurate and well presented correspondence, reports and letters.
Open incoming mail while keeping a record of incoming and outgoing mail. Maintain a comprehensive filing system.
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Qualifications and Knowledge
Essential criteria
- RSA III or equivalent demonstrable experience of administrative/office skills and knowledge
- RSA II or equivalent demonstrable experience of administrative/office skills plus the additional experience of working in an administrative/office environment
- Audio Typing Qualification
- Familiar and competent with Microsoft IT packages, especially Work, Excel and PowerPoint
- Experience of working in a busy complex environment
Desirable criteria
- Experience of working within the NHS
Aptitude and Abilities
Essential criteria
- Good organisational skills to prioritise work, meet deadlines and work under pressure
- Excellent verbal and written skills
- Self-motivated and able to work without supervision
Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
