Main duties of the job

The post holder will be part of the ICB safeguarding team. 

The post holder will support the effective operation of the Safeguarding Team by providing organizational and coordination support. 

The post holder is expected to act on their own initiative to ensure the effective running of the safeguarding processes, prioritising their own workload as required, with little daily supervision. 

The post holder is expected to communicate and liaise effectively and professionally with all levels of staff, external organisations, and the public, dealing with complex, sensitive, and confidential information in an appropriate manner.

Detailed job description and main responsibilities

To be a point of contact and maintain relationships across the safeguarding team, assisting the team in the development and maintenance of efficient and effective office procedures.

 To maintain and populate databases with confidential and sensitive information and to produce reports relating to this.

 To co-ordinate, organise and support the safeguarding training schedules and work with the ICB Training Hub to ensure the smooth delivery of the sessions. This will include booking presenters, ensuring the appropriate venue is located and set up and reviewing evaluations for feedback to be considered. You will be required to support and deliver training with the safeguarding team to ICB Colleagues.

 Take responsibility to plan and arrange meetings and events which may be internal or external to the team, ensuring all necessary arrangements are made, such as maintaining invite lists, making room bookings, refreshments, etc. and travelling to the site to ensure the event runs smoothly.

Using project management skills, provide a fully comprehensive professional project support to the Safeguarding team.

Communicate information and issues, including briefings, reports, and legislative updates to members of the safeguarding team, including Named GPs, Safeguarding Lead GPs, and wider partners.

 Be responsible to attend Joint Agency Review meetings with one of the Safeguarding team and record minutes. These meetings by necessity, are arranged with a short notice period and a swift formulation of the attendees and agenda will be required.

 Review the confidential datix and serious incident reports to ensure any safeguarding issues are raised with the Safeguarding team for a swift resolution.

Ensure the efficient and accurate recording of data on all electronic systems, providing datasets and reviewing information for themes across safeguarding.

 Complete confidential correspondence, reports, and other documentation to a high standard within agreed timescales.

 Be available to support and coordinate information across health that is needed for CQC inspections.  Complex, sensitive information must be collated from several sources and uploaded to a confidential system, which needs to be monitored, reviewed, and adjusted as necessary for a swift resolution.  

 Provide dedicated planning, coordination, and support to the team, as required, including occasional diary management, and maintaining rotas for helpline cover, which may need to be adjust at short notice.

Qualifications & Knowledge

Essential criteria
  • Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven theoretical experience.
  • ECDL (European Computer Driving Licence) or equivalent intermediate knowledge and experience of using a variety of software programmes/packages.

Experience

Essential criteria
  • Significant knowledge and experience of working in a busy office and/or customer care environment, undertaking a full range of complex administrative duties and maintaining systems, rotas, and diaries.
  • Knowledge of office procedures and evidence of Continuing Professional Development (CPD).
  • Demonstrable experience in dealing with the public and dealing with sensitive and confidential information, particularly in relation to the NHS and patients.
  • Understanding of Confidentiality and Data Protection Act.

Skills

  • Advanced keyboard skills
  • Excellent oral and written communication skills
  • Intermediate knowledge of office systems
  • Computer literate and able to use Microsoft Office suite including Outlook, Word, Excel, PowerPoint, or similar packages.
  • Ability to take and transcribe minutes of formal meetings, including generating relevant data for presentations to be delivered across MS Teams and in face-to-face meetings
  • Clear communicator with excellent writing, data entry and presentation skills: capable of constructing and delivering clear information/ instructions to colleagues and service users
  • Evidence of Project Management skills

  • Knowledge of NHS policy both locally and nationally.
  • Knowledge of the new commissioning landscape and organisational structures
