18 Month Fixed Term, Part Time, 15 hours per week, Band 2 Assistant Administrator for Fetal Alcohol Spectrum Disorder team.

The job makes better lives by ensuring that the FASD team has efficient and appropriate administrative support to enable them to provide the best clinical support possible to people who use our services.

Main duties of the job

To ensure the smooth running of the office by providing efficient administrative support for the FASD team including the FASD Service and Clinic Leads and the FASD Lead Administrator, as well as the wider team (Clinical Psychologist, Speech and Language Therapist, Trainee Clinical Psychologist, Assistant Psychologist, and Honorary Placement Student). To act as a receptionist for visitors to the FASD service and to assist in receiving and dealing with telephone and email enquiries.

Detailed job description and main responsibilities

  • To ensure that all enquiries are dealt with in an appropriate and polite manner and that an appropriate response is initiated.
  • To effectively respond, in a timely manner, to queries from people who use the services, carers and visitors.
  • Liaise and maintain pleasant and collaborative working relationships.
  • To be responsible for maintaining the confidentiality and security of client data in accordance with Trust policy.
  • To be able to use System 1(S1), and other health record systems.  This will include checking client data to ensure it is synchronised correctly, checking client appointments as well as uploading clinical information on to S1 as required.
  • To photocopy, fax and send out clinical correspondence.
  • To tactfully exchange verbal and written information with clients and staff.
  • To take and pass on accurate messages via telephone calls/messages from visitors when necessary.
  • To be aware and sensitive towards those from different ethnic and cultural backgrounds.
  • To report issues which need management attention.
  • To implement Trust and team policies/procedures and propose changes to practices if necessary.

  • Educated to GCSE level or equivalent
