An exciting opportunity has arisen for an experienced Personal Assistant to join our Executive PA Team and provide a professional and confidential service to support the Trust’s Executive Directors.
We are looking for an enthusiastic, experienced and professional Personal Assistant who has excellent organisational and communication skills.
The post holder will be highly organised and efficient, able to multi-task and use their own initiative to manage and prioritise a wide range of tasks and responsibilities, managing busy and complex diaries for multiple senior managers. Minute taking and advanced keyboard skills are essential, as is a good understanding of Microsoft packages (Outlook365, Word, Powerpoint).
Please note this is an office-based role and the post holder will be based at Royal Surrey. Previous experience working in the NHS would be advantageous but is not essential.
Main duties of the job
- Keep abreast of all issues being dealt with by the Directors to be able to deal effectively with enquiries and progress work on own initiative.
- Establish and maintain good working relationships with all Executive team, consultants, senior managers, and all members of staff. Communicate on behalf of the Directors sensitive staff related issues.
- Proactively manage the Directors’ diaries, ensuring they are kept up to date and papers are provided for meetings.
- Provide an efficient and confidential secretarial/ administrative support service to senior members of the Directorate as required.
- Deal with daily correspondence, drafting responses as appropriate. Ensure fast and accurate typing of all correspondence and reports.
- Monitor, field and prioritise telephone calls and emails to the Directors and PA team shared mailbox, ensuring that any enquiries or complaints from members of the public, hospital staff and outside bodies are dealt with in a professional, reassuring, sensitive and confidential manner.
- Establish and maintain appropriate filing systems and databases, ensuring timely and accurate filing.

Detailed job description and main responsibilities
To provide a comprehensive confidential secretarial and administrative service to Directors of the Trust, co-ordinating the functions of their offices and taking forward delegated tasks on behalf of Directors.
Provide a timely and effective Personal Assistant service to the Directors, enabling them to make the best use of their time.
Ensure information is circulated appropriately to staff within the various teams, and that high standards of inter-departmental communications are achieved.
Plan and organise meetings, including booking of venues and catering, preparing agendas, taking minutes of meetings including Board Committees and timely distribution of papers.

- Educated to degree level or equivalent by experience
- Good Level of Written and Spoken English
Knowledge and Experience
Essential criteria
- Significant PA/Secretarial Experience at Director level
Desirable criteria
- Previous Experience within the NHS
- Previous Supervisory Experience
