We are looking for an enthusiastic administrator to join our Audiology Department at the Royal Surrey County Hospital in Guildford.  If you thrive on working in a busy environment, communicating with professionals and the public and have good organisation skills then this is the job for you!

 

We are a large department that provides specialised Audiology services to RSCH and 3 outreach clinics across Surrey and Hampshire.  The administration team consists of 4 administrators.

The postholder will be expected to enter a rota of covering Audiology reception at RSCH and providing daily administration for the department.   As the first point of contact with the public they will be representing the department in a professional manner, be deaf aware and work efficiently in a busy and demanding environment.

Reception and daily administration of the Audiology Department covering all aspects of the Audiology service provision.

To communicate effectively with patients and their family and to adjust communication appropriately to those patients who are hard of hearing. 

To represent the Audiology Department as a professional health service and often be the first point of contact for patients and families to the Audiology Department. 

To be responsible for the daily administration of the Audiology department and it’s outreach clinics.

To assist with research administration and data collection.

1.    Checking in patients for their Audiology appointment simultaneously on 2 hospital patient management systems.

2.    Scanning of referral letters.

3.    Answering phone queries relating to appointments, clinics, hearing aid maintenance, etc.

4.    Answering email queries to the departmental email account.

5.    Completing audiology clinic outcomes on the patient management system in a timely and accurate manner.

6.    Collecting and taking post from/to the post room.

7.    Requesting, collecting and returning hospital notes from/to the medical records department and ensuring these are available for the appropriate clinics.

8.    Issuing hearing aid batteries and hearing aid tubing to patients.

9.    Ensuring that hospital transport is booked where necessary.

10. Sending ear mould impressions to the manufacturers and receipting them in.

11.  Taking minutes in staff meetings.

12. Preparing pick-lists for outreach clinics.

13. Following-up on audiologist queries with 3rd parties.

12.  Act as a point of contact for patients taking part in the research project and respond to their queries via telephone or email.

13.  Assist Head of Audiology and senior Audiology staff with the dissemination of information by creating a regular departmental newsletter.

14.  Transfer the weekly rota onto the Audiology PAS system.

15. Working in an effective, accurate, courteous and speedily manner.

16.  Maintaining good working relationships with ENT, Audiological Medicine and other hospital department administrative staff and external organizations including teachers of the deaf, voluntary organizations etc.

17.  Having a good knowledge of the audiology procedures and range of services provided so that patients’ questions can be satisfactorily answered.

18. Having a good understanding of the needs of the elderly hard of hearing so that clear communication is possible in a friendly and helpful manner at all times      

19. Having a can-do, positive attitude to delivery of a caring service provision

  • A good standard of general education to ‘A’ Level or equivalent

Knowledge & Experience

  • Previous experience of working in office environment
  • Experience of dealing with the general public
  • Proficient in Microsoft packages including Word, Excel, Powerpoint and Outlook
  • Demonstrates deaf awareness
  • Knowledge of NHS priorities and understanding of the guidelines and targets in own area of work
