Job overview

This is an exciting and pivotal role to provide project administrative support to Healthcare Partners’ design, build and operate healthcare facility programmes. The first project is to support the Royal Surrey Hospital’s Cancer and Surgical Innovation Centre (CASIC) Programme Manager and surgical CASIC projects.

The purpose of the role is to provide project administrative support to Healthcare Partners’ design, build and operate healthcare facilities programmes. The first project this role will support is the Cancer and Surgical Innovation Centre (CASIC) Programme Manager and other surgical projects. Healthcare Partners requires a Project Support Officer (PSO) who will be expected to provide project support expertise and service to all its programmes and in particular the CASIC programmes as a member of the Healthcare Partners team. 

Main duties of the job

o    Support in the tracking of Programme status, progress, risks and benefits and refining the processes and tools in use. 
o    Support the Programme Manager to implement, maintain and continually   improve a project administration system to ensure that all Programmes are tracked and benefits captured/delivered on time – e.g.
-    Assist in administrative duties to support the delivery of Programmes – e.g.:
o    Supporting the completion of Programme Initiation Documentation (‘PIDs’): risk registers, Gantt charts, milestone plans, highlight reports, action and decision logs, stakeholder analysis, benefits identification
o    Quality check all Programme/project trackers before they are circulated and presented at Steering Groups or Boards as required 
o    Responsible for Programme governance documentation and templates 
o    Ensuring the filing structure is maintained and all correct documentation are in the right place for easy access of information
o    Maintain a register of Programme/project standard templates and ensure the most up-to-date versions of these are accessible on the intranet.
o    Support by producing reports that contain sensitive change and performance data; this also includes creating, updating and giving PowerPoint presentations.
o    Support the development and submission of Business Cases.

Detailed job description and main responsibilities

-     Administrative support to Healthcare facility build projects and CASIC transformation programmes / work streams. This includes: 
o    Managing and scheduling of Programme meetings
o    Preparing slide packs to support Programme meetings
o    Taking minutes and maintaining action logs for Programme meetings
o    Distributing minutes, decision and action logs
o    Maintenance of standard templates, standard documents and filing structures
o    Supporting the completion of Programme documentation
o    Maintaining records of Programme activities and supporting with reporting progress
o    Scheduling, prepping and supporting the running of improvement events and training.
o    Maintaining a schedule of events and training, logs of attendees and follow-up management
o    Tracking and recording of project progress against identified timelines.

Essential criteria
  • Educated to degree level or equivalent experience

Knowledge and Experience

Essential criteria
  • Proficient in the use of IT e.g. Outlook, Word, Excel, PowerPoint
  • An awareness of national health policy and in particular the NHS Plan
  • Experience of programme administration and support
  • Knowledge of project documentation, its purpose and completion
  • Experience of problem solving and supporting others in a CASIC Team/Programme.
Desirable criteria
  • Understanding of the complexities of an acute hospital
