Job overview
To act as the Senior Medical Administrator for Consultant Psychiatrists within our team. Ensuring prompt and efficient admin and secretarial support is provided.

Main duties of the job
· Provide dedicated support to the team’s consultants with diary management, report and letter writing, inputting onto the electronic patient record system and other duties as listed below.
· Take and transcribe a wide range of meeting minutes in an accurate and timely manner
· Receive and process referrals to the relevant clinician and system(s)
· Update case notes on patient record system as required
· Undertake regular managerial supervision and appraisal of administrators within the team, in conjunction with Band 5, if applicable
· Monitor annual leave requests and sickness absence for manager, as required
· Extract data from data warehouses
· Type up reports incorporating graphics and tables as required
· Type all letters dictated or provided by the team
· Book appointments on the patient record system for clinics and individual consultations, coordinating and arranging links for virtual meetings as required
· Answer telephone calls and relay any messages in a timely manner
· Creating bespoke documents for the team, such as leaflets etc.
· Arrange team events, as required
· Monitor data quality of administrative input Provide cover for other colleagues in the admin team as required for short absences due to annual leave or sickness. Admin support for consultants is restricted to SABP caseloads only and does not extend to private consultancy work
· Competent with Microsoft Word, Excel, PowerPoint, Teams, Outlook

Qualifications
Essential criteria
- NVQ Level 4 in Business Admin or Equivalent experience (4 years)
- Experience required 4 years’ experience of clerical and administrative work requiring a high degree of accuracy and working in accordance with policies/procedures
- Experience of working with Microsoft Word, Excel, PowerPoint
Desirable criteria
- Experience of working with electronic patient records
IT skills test
