The base for this role is Epsom however the team does offer a mix of remote and office working.
Main duties of the job
The role of a Referral Support Administrator ( band 4) is to provide a high level of administrative support in the Referral Support Service (RSS), this will include liaising with clinicians, patients, primary care and other administrative or partner organisation staff. Leading by example in ensuring a patient focused service by responding to all queries in a timely and professional manner. The role will require the post holder to have a complex knowledge and understanding of medical terminology for all specialties, referral pathways and policies and criteria within the Surrey Heartlands Integrated Care System (ICS).
The Referral support service main objectives are to support GP practices, Providers such as local NHS acute trusts, independent and community services and the patients by :
- Supporting the patient’s by getting their referral to get to the right place first time.
- Ensuring patients are offered choice of provider as per NHS national guidance.
- Supporting GP practices and giving advice on referral pathways, freeing up time for care.
- Ensuring all referrals are worked up effectively as per referral pathways for each specialty at providers i.e., relevant bloods and diagnostics have been undertaken and completed prior to referral by primary care to provide a better patient journey and avoid delay to patient care and any duplication at the providers.

Qualifications Knowledge, Training and Experience
Essential criteria
- Administrative knowledge acquired through training and relevant experience
- Understanding of the key systems and processes required to within a referral/ booking service within the NHS
- Experience of working in the NHS and awareness of current NHS policy
- Experience of using ERS for managing referrals
- Experience of dealing with highly confidential information
- Ability to lead/supervise a team and support on team development
- Ability to communicate effectively and sensitively with patients/clients
Administrative Experience
Essential criteria
- Established communication skills, with the ability to work with internal and external contacts such as team members, GPs, GP practice staff, Providers
- Ability to prioritise and manage own workload, working on own initiative
- Excellent telephone manner and ability to manage difficult situations with sensitivity and authority
- A high degree of accuracy and attention to detail
- A calm and methodical approach, able to work under pressure to tight deadlines
- Robust working knowledge of word processing, databases, spreadsheets and presentation packages, to include accurate audio and copy typing skills
Physical skills
Essential criteria
- Good knowledge of Microsoft Office with excellent keyboard skills

Essential criteria
- Demonstrated capabilities to manage own workload and make informed decisions in the absence of required information, working to tight timescales
- Ability to make decisions autonomously, when required, on difficult issues
