Job overview

We are looking to recruit an Admin Assistant to assist with the smooth running of the Community Diagnostics Center (CDC).  The CDC is due to open at the end of 2024 and will be located in the grounds of Newmarket Community Hospital.   The CDC will include a CT scanner, MRI scanner, two X-ray rooms,  three ultrasound rooms and cardiology and lung function

 

The successful candidate will join the team of receptionists and will be responsible for creating some of the appointments for CDC patients.  The role will include reception and appointment responsibilities.  Radiology receptionists are the first contact for the patient when they attend for their diagnostic imaging.  They will be responsible for the smooth running of the reception desk, assisting patients with the self check-in kiosks and helping patients as necessary as they transition though the unit.  The Admin Assistant will also be responsible for creating diagnostic imaging appointments for the CDC, including but not exclusive to X-rays, obstetric ultrasounds and Dexa scans.   They must be able to give advice to patients regarding preparation and what to expect before, during and after their procedure.  

Our staff use CRIS (Radiology Information System) to attend patients, they are also proficient in using eCare and ICE.  Their role requires them to interact with clinicians and clerical staff from within the CDC, the radiology department at the West Suffolk Hospital and also the Trust and community.  

 

Main duties of the job

The CDC will be opening from 8am to 8pm, Monday to Friday initially.  Once the unit is operation the opening hours will be extended to include 8am to 8pm Saturdays and Sundays.  Staff will be on a rota to ensure fair coverage of the late and evening shifts.

To welcome patients attending for their imaging appointment in a pleasant and professional manner. To complete an initial identification check and mark the patient as attended on CRIS.

Check the patients safety questionnaire and relay any issues to the clinicians.

Be able to highlight discrepancies on requests and escalate them appropriately.

Assist the patient on their journey through the department and answer queries where possible.

Receptionists are required to complete a mini care certificate at the start of their employment. 

Create diaries, create and change appointments, and handle enquiries.

This post requires you to be on site, remote working is not possible.

-          Work cooperatively with all staff in the CDC.

Education & Qualification

Essential criteria
  • GCSE English C/4 or higher
  • GCSE Maths C/4 or higher
Desirable criteria
  • A good standard of Education
  • Educated to ‘A’ level or equivalent

Experience & Knowledge

Essential criteria
  • Direct customer / client liaison such as reception, telephonist, healthcare support
Desirable criteria
  • Within the NHS
  • Proven ability to work with minimal supervision

Skills & Abilities

Essential criteria
  • Able to work calmly under pressure.
  • Able to co-operate and work with colleagues and other staff disciplines.
  • Excellent communicator.
  • Ability to use own initiative and to work unsupervised, with minimal management support if required.
