This is a fixed term maternity cover post for up to 12 months. 37.5 hours per week, working Monday to Friday.
An exciting opportunity has arisen within the Learning and Development team for a Band 4 Organisational Development and Learning Co-Ordinator. The role centres around the day-to-day supervision of the Learning and Development administration team providing support and cover as necessary. In addition, the role will be overseeing the running of programmes and courses that the Learning and Development team are responsible for.
The post requires a confident individual who can support a busy team. Recent administration experience is essential as well as the ability to work on your own and as part of a team. This post will require good problem-solving skills and using your own initiative to ensure the smooth running of training programmes and courses.
Main duties of the job
We are seeking a highly motivated individual with a high level of accuracy and attention to detail. This role will involve multi-tasking and prioritisation therefore the ability to organise workload and prioritise tasks accordingly is essential.
The role requires involvements in all aspects of the service, from monitoring feedback and highlighting any issues, inputting data, maintaining and updating eLearning packages and supporting the Apprenticeship Project Manager as required.
The role will involve using and utilising our Employment Record System (ESR), to record and maintain learning records and collate data to produce reports. Therefore, experience of using databases and Microsoft products will be necessary.
In addition, the successful candidate will need to have good working knowledge of IT, the ability to communicate with staff of all levels and make sure all queries are dealt with in a timely manner.

Detailed job description and main responsibilities
Job summary:
The Organisational Development and Learning Co-Ordinator will be responsible for overseeing, co-ordinating and ensuring the smooth running of Organisational Development and Learning and Development Training programmes and courses for both our acute and community colleagues. They will need to maintain the OLM (Oracle Learning Management) training system to ensure all training and training requirements are accurate as well as supervising the Learning and Development Administration Team providing support and cover as necessary.
Job responsibilities:
Key Tasks & Responsibilities:
1. Planning and organisational Skills:
Organisational Development and Learning and Development Training Programmes
To oversee and supervise the daily administration of all aspects of learning and development activities across the trust. To include Acute and Community Mandatory Training, Trust and Clinical Inductions, Leadership and Management Development, Coaching and Mentoring and Personal Development. Ensure effective:
a. Liaison with Organisational Development and Learning and Development leads
b. Liaison with trainers/managers
c. Booking of venues
d. Production of correspondence/information for attendees
e. Facilitation of eLearning training sessions where appropriate
f. Timely input of attendance on OLM
g. Collation of course evaluation sheets for feedback
h. Support to staff in the community with e-learning queries and to be compliant with their training requirements
Respond and deal with general queries, comments and complaints relating to the Learning and Development Team ensuring all are dealt with efficiently and sensitively; identifying when/if concerns needs to be escalated to the Organisational Development and Learning Team Leader
Monitor, analyse and evaluate feedback from all courses and ensure it is collated and distributed to trainers
Conducting analysis of the feedback to identify and highlight any issues to the Organisational Development and Learning Team Leader
To maintain the Learning and Development Intranet Pages, ensuring the most up to date and relevant information is included

Education & Qualification
Essential criteria
- Literacy/Numeracy at Level 2
- Level 3 or equivalent in Business Administration or Customer Service or Team Leading and/or relevant experience
Experience & Knowledge
Essential criteria
- Experience of supervising, and working in an admin team
- Experience of planning and organising multiple activities
- Knowledge of databases, inputting data, producing reports, and analysing data from them
- Experience of working in a complex organisation, undergoing change
- Experience of working with internal and external, multidisciplinary colleagues
Desirable criteria
- Experience of using ESR and OLM
- Experience of working within a Learning and Development Team
