The Childrens Speech & language therapy service is part of the MPFT and provides a service to Staffordshire and Stoke on Trent.  We also provide services to the University Hospital of North Midlands, as well as to a range of other commissioners in educational /care settings.

We have an opportunity to recruit to 1 part time permanent Band 4 Business Support Officer position.  The service is needs lead and is able to offer you:

Main duties of the job

The post holder will establish and maintain a business support infrastructure necessary to assist the Service Manager, Operational and Clinical Leads in meeting the Trusts objectives and targets. This will include the development of systems and processes to monitor performance against the Trust’s Key Performance Indicators.

To analyse reports and extract data from all report formats for all Key Performance Indicators (Quantity & Quality) and feed this back to Service Manager, Operational and Clinical Lead in a format that can be used within Services/Teams for planning and supervision purposes.

Required to have the authority/ability to approach individual clinicians and request action.  To escalate performance/compliance issues as necessary via the Team Leaders with a requirement to further escalate if deemed necessary via Service Manager.

To work with Corporate Services to identify areas of under-recording of clinical activity and work within the Services/Teams to improve recording and data quality.

Detailed job description and main responsibilities

Request information / activity reports that are required on behalf of the Service Manager, Team Leaders including data timeliness, data quality, waiting times, wait lists, management reports etc.

Provide a central point of contact to respond to/resolve any queries on behalf of Service Manager, and Team Leaders where appropriate in relation to all Key Performance Indicators.

Contribute to a robust and strong cohesive framework from the established BSO network, providing support to colleagues to ensure consistency and equity of provision across Services/Teams as requ

Responsible for liaising with Corporate / Support Services to obtain data / performance reports e.g. activity reports, workforce and training data, financial information.

Provide regular monthly Service/Team updates as required to Service Manager and Team Leaders.

Attend internal and external meetings relevant to post, taking minutes and distributing using appropriate systems, arranging a variety of meetings and sourcing agenda items, as directed by the Service Manager and Operational Team Leader.

               To be available for regular supervision by Team Leaders & Manager 

     Support and participate in the Business Meetings held on a monthly       basis within the clinical teams

     Occasional requirement to travel between Trust sites across a wide         geographical area within Staffordshire and Stoke on Trent.

     Ability to use a range of software programs, such as Microsoft Word,    Excel,   PowerPoint, Outlook, and a range of office equipment               including multi-function device for  photocopying, printing, scanning etc.

Qualifications

Essential criteria
  • NVQ Level 3 Business Administration (or equivalent level of experience)
  • To undertake training, where necessary to ensure own personal development and to develop new skills necessary to successfully carry out duties of this post
  • OCR/ RSA III or equivalent experience

Experience

Essential criteria
  • Significant experience in administration duties.
  • Handling sensitive data
  • Ability to plan, schedule and organise day to day work
  • Experience of analytical processes
  • Previous experience of setting up office/ administrative systems

Skills

Essential criteria
  • Good working knowledge/experience of Microsoft Office, including Outlook, Word, Excel and PowerPoint.
  • Ability to communicate and maintain professional relationships with work colleagues and senior post holders within the Trust.
  • Good written and verbal communication skills.
  • Ability to receive instruction and respond as necessary
  • Ability to work autonomously, prioritise own workload and act on own initiative to agreed deadlines.
