Job overview

An exciting opportunity has arisen for a part-time Band 4 Directorate Secretary to support the Trauma Directorate for six months on a fixed term basis to provide cover during maternity leave.

The post holder is required to provide comprehensive secretarial support to the Trauma Directorate Management team and wider workforce to ensure an efficient and smooth running service. You will be  hardworking, flexible and organised, have secretarial experience and working knowledge of Microsoft Office software, along with experience of  Diary Management and minute taking. 

Main duties of the job

Main duties will include (but are not limited to): liaising with other departments, organising electronic diaries, maintaining records, taking minutes at Directorate meetings and preparing papers for relevant meetings. 

The post holder would be expected to raise purchase orders and support in the submissions of payroll on the EASY system.

Person specification

Education/ Training

Essential criteria
  • Intermediate level qualification or equivalent experience e.g. HNC, Diploma, Typing qualification
  • GCSE (or equivalent) pass in English and Maths
  • Proficient in the use of Microsoft packages

Knowledge, Skills, Training and Experience

Essential criteria
  • 2 years experience of working in an acute Trust
  • Extensive Secretarial background within an acute Trust
  • Knowledge of Trust processes/systems
  • Ability to audio type/transcribing
Desirable criteria
  • E-Requisition & Invoicing experience

Personal Qualities

Essential criteria
  • Able to use own initiative
  • Ability to work as part of a team
  • Ability to work with confidential information and deal with situations in a sensitive manner
