Job overview

The General Medicine Directorate have vacancies for two x 35 hour, Band 3 Support Secretaries.  These posts are a new and exciting role in our Acute Renal department, these roles will be based at Royal Stoke Hospital, where you will be working in a friendly but busy team.

The post holders will have a Consultant allocated to them

The post holders are required to support the Medical Secretary/Team Leader in the delivery of a comprehensive administrative service to a specialty team.  This will involve management for, communicating appointment and admission related information to patients and carers and/or typing correspondence as appropriate. 

 

Main duties of the job

Responsible for supporting a Consultant; managing clinics, diaries, meetings etc

·         Retrieve and type clinic letters.

·         Understanding and application of RTT policy.

·        The post holder will also be responsible for handling telephone and other communications.

·         There is a requirement to exchange information with patients and carers, requiring tact and diplomacy. There is also a requirement to communicate complicated information to other departments and external contacts.

 

·         The post holder will plan and organise own time. The job will involve job prioritisation of work for others which will involve resolving conflicting diary appointments and schedules.

·         The post holder will liaise with the medical team and appointments department to arrange, cancel or alter clinical commitments to contribute to the smooth running of the department ensuring that patients notes are requested and provided in a timely manner.

·         The post holder will develop office and secretarial practices to continually improve service delivery.

·         The post holder will be required to use a computer for a significant proportion of the day and concentration would be required when transcribing and/or typing complicated medical documents. Limited exposure to emotional and distressing circumstances exists and would be limited to the typing of letters of a distressing nature and contact with distressed patients.

Essential Qualifications

Essential criteria
  • • Good general education to include GCSE or equivalent in English and Mathematics
  • • RSA Level 3/AMSPAR or equivalent experience in word process

Knowledge, Skills, Training and Experience

Essential criteria
  • • Relevant experience in a similar secretarial role within the NHS
  • • Audio typing
  • • Experience of working with medical terminology
