Job overview

We have a great opportunity for a forward thinking and dynamic secretary to join the Pharmacy directorate supporting the senior management team.  The Directorate operates over both of UHNM's two sites and includes dispensaries, stores and manufacturing departments.

We are seeking an enthusiastic, exceptionally well organised and proactive individual to support the Directorate management team.

The post holder will work closely with the Clinical Director, Directorate Manager and Pharmacy Clinical Governance Team organising diaries, taking minutes of core meetings, maintenance of governance structure (which will involve utilising Datix to provide reports for key Clinical Governance meeting) and ensuring the smooth running of the administration for the Directorate team.

We are looking for an individual who is conscientious, with excellent computer skills, who can work independently or part of a team. The individual will manage the Administration team. Previous experience of working in the NHS is desirable, but not essential.

Essential Qualifications

Essential criteria
  • Proven Good standard of general education with demonstrable proficiency (A - C grades in GCSE or equivalent) in English and Mathematics
  • OCR Stage III Word Processing (or equivalent)
Desirable criteria
  • Management qualification or working towards
  • Minimum 12 months supervisory experience within a similar role

Knowledge, Skills, Training and Experience

Essential criteria
  • Minimum of 2 years office experience in a busy and demanding environment
  • Experience of using of Microsoft Word, Excel, PowerPoint, and the Outlook Diary Management System
  • Ability to identify own strengths and weaknesses and to identify and address and take responsibility for own development needs
  • Advanced keyboard skills to cope with the production of reports, databases including confidence in the use of audio transcription equipment
  • Able to provide basic HR advice to the Directorate
Desirable criteria
  • NHS experience
  • Knowledge of Datix®
