Job overview

** Medical and Clinical Administrator to join the Specialist Eating Disorders Team**

We are seeking to recruit an enthusiastic and self-motivated Medical and Clinical Administrator to be part of our Adult Eating Disorders team supporting both inpatients of Kinver Ward and the day service.

Kinver Ward consists of a 12-bedded inpatient unit, providing innovative treatment to bring about long-lasting change and recovery for patients with an eating disorder.

Day Service provides a personalised programme to assist in either avoiding an inpatient admission, supporting patients in the community with an outreach approach or those who have been discharged from hospital and working to continue to achieve recovery goals.

You will play a significant role providing efficient, comprehensive, and complex secretarial and administrative services to the Consultants and Multi-disciplinary team, acting as a first point of contact for patients, staff, and stakeholders, exercising judgement and resolving problems.

Medical Secretarial experience is required with excellent administrative skills, preferably within the NHS. You must demonstrate a mature attitude, show initiative, ability to build effective working relationships, be approachable and able to resolve problems with a flexible work ethic. We are looking for a confident individual, who has a positive approach to change and support with service improvements.

Detailed job description and main responsibilities

·       To provide effective and efficient Secretarial/Administration support to Consultant Psychiatrist’s, and to the multi-disciplinary clinical team. This includes the provision of office support services to facilitate patient care delivered by the team and liaison with other staff groups and outside agencies, to support both Day therapies and the Kinver Inpatient Unit.

·       Ensure effective communication between departments and other external agencies.

·       Provide a confidential and efficient word processing service with the ability to convert reports and correspondence written by the consultant and clinical team.

  • Be able to use audio transcription equipment and be competent in all Microsoft packages.
  • Be able to coordinate meetings, diary management and book clinic appointments.
  • You will attend weekly meetings and take minutes, dealing with any subsequent actions.
  • Organise CPA meetings ensuring external visitors are invited.
  • Manage referrals to both Kinver Inpatient and Day services.

The needs of the service user will be the utmost priority. The principle of high-quality patient care is at the heart of this role.

 Working within the service can at times be a stressful environment, by way of telephone calls, visitors, meetings, and numerous daily urgencies. You will require the ability to work under pressure, with conflicting demands at times, show a willingness to assist others, be a key member of the team with a requirement to work in other administrative areas where appropriate as directed by their line manager.

 

Person specification

QUALIFICATIONS & TRAINING

Essential criteria
  • Accredited training in administration to NVQ level 3 or appropriate administration experience.
  • Possess a recognised typing qualification RSA III.
Desirable criteria
  • • Management qualifications and continuous professional development

EXPERIENCE

Essential criteria
  • Previous Ward Clerk experience
  • Working as part of a team
Desirable criteria
  • Use of RiO
  • Knowledge of Eating Disorders
