We are looking to appoint an experienced, enthusiastic and motivated Administrator/Secretary who is committed to supporting the needs of people with learning disabilities to join our team.

You will be part of an experienced multi-disciplinary team supporting people with learning disabilities across Shropshire, Telford & Wrekin.

The role requires someone who is able to demonstrate excellent inter-personal communication skills and a determined commitment to person-centered, multi-disciplinary working. 

This post offers the opportunity to work in a highly focused and supportive way delivering a quality secretarial and administrative service including co-ordinating clinic appointment, answering telephone calls, meeting and greeting patients, writing and sending clinic letters.  Training opportunities will be offered.

You will be part of a team responsible for providing a quality administrative service supporting the Physical Health Clinic.  You may also be required to work in other administrative areas as directed by the line manager.

You will be expected to have a flexible approach to work and will need to prioritise work and meet deadlines.  You will be a member of the multidisciplinary Community team, working alongside a range of healthcare professionals to ensure that clients’ needs are met effectively.  You will work autonomously for all or most of the time, working with other administrative staff in order to support the service.

You will also have daily contact with a wide range of staff at all levels and regular contact with  service users, carers, partner organisations and other external agencies as required.

Provide comprehensive secretarial and administrative support to Professionals within the multi-disciplinary Community Learning Disability Team and other members of staff as required.

Provide confidential and efficient word processing service, including the preparation of letters, reports from a variety of sources and have a working knowledge of Easy Read.

Open, sort and distribute incoming post, prioritising and screening urgent correspondence ensuring it receives appropriate attention/direction. 

Undertake general office duties as required including filing, photocopying, scanning answering and making telephone calls.

Logging calls with the Trust’s Service Desk for any building repairs, works etc. 

Ordering of equipment and stationery on the Trusts E-Procurement System whilst ensuring the correct procedures are adhered to and stock levels are maintained for the teams.

Prioritise and manage own workload to meet the needs and requirements of the service demands.

Work within parameters of established procedures and to seek advice when necessary.

Provide cover for other administrative staff within the team as required. 

Follow policies relevant to own role.

Meet and greet visitors to and from The Redwoods Centre as necessary

Follow Standard Operating Procedures, good practice and established precedents.

Work with others to deal with occasional distressing or emotional circumstances.

Qualifications & Training

  • NVQ 3 in Business Admin, finance, customer care or relevant experience.
  • Possesses a good standard of general education.
  • (RSA II typing or equivalent) or can display word processing skills to an equivalent level of competence.

Experience

  • Previous secretarial / administrative experience.
  • Previous demonstrable administrative experience within a health setting.
  • A good understanding of office procedures and an ability to develop admin systems.

  • Previous experience of working within the NHS.

  • Good written and verbal communication skills.
