Job overview
We have a vacancy for a receptionist/administrator, working with a friendly reception team. We are seeking a confident, enthusiastic additional member of staff to join our team, providing a high quality site administration and call handling service.
Experience in a similar role is essential as you will be required to work autonomously. Full training will be provided.
Hours will be between 08:30 - 16:30 Monday to Friday.

Main duties of the job
To act as first point of contact for staff raising issues and concerns they may have regarding buildings.
To monitor and manage the Reception and CSU Estates inbox, actioning any requests and arranging repairs and maintenance as and when required through the use of Connect (NHS Property Services online Helpdesk).
To provide a high-quality site administration and call handling service.
To assist in the management of the day to day building and facilities management of Bennett House, having the autonomy to make decisions in the absence of the Estates Manager.
Also assisting with any day to day issues to ensure compliance with Health, Safety, Fire and Security regulations.

Detailed job description and main responsibilities
Maintain stock levels of stationary using the ordering system.
To monitor the room booking systems, ensuring rooms are tidy and prepared for meetings. To provide support, in terms of meeting room equipment and facilities including video conferencing equipment, projector and screens, Teams Video Screens.
Record the destruction of ID badges that are returned to Reception.
Process incoming mail and scan to relevant teams. Print outgoing patient letters.
To provide support with photocopiers, scanning and fixing minor faults before referring fault to IT Servicedesk, communicating to staff any service downtimes.
To ensure the office confidential waste bins are emptied and the check list is signed by contractors.
