Job overview
Applications are invited from enthusiastic, suitably qualified individuals to provide a daily administrative support service within the Histopathology department of the Laboratory Medicine Directorate. The post holder will be based on our Royal Hallamshire Hospital site.
The post holder will assist with and carry out copy typing, filing, recording inter-site transfer of material and scanning of forms received within the Laboratory, alongside other admin duties to support the Histopathology Secretaries
There will be a requirement to work within a Laboratory environment for part days.

Main duties of the job
- To provide administrative support to the department including activities such as:
- Administrative Support
- Provide a fast and efficient typing service supporting the Histopathology secretarial team in producing diagnostic reports.
- Provide a flexible administrative support service across the department
Enter patient details into the laboratory computer system (APEX) - Maintain and update databases/spreadsheets for the purpose of tracking material in and out of the department and to ensure that all material is returned in a timely manner
- Distribute incoming and outgoing departmental mail
- Activate report print runs from APEX, collate and send for distribution
- Scanning and filing of request forms and other documentation as required
- Receive and distribute emails within the department and transmit emails on behalf of others when required
- Assist with the retrieval of slides from file
- Undertake photocopying as required
- To follow agreed protocols and policies seeing advice where appropriate
- To work in an efficient, effective and timely manner and be adaptable to change
- To work in a safe manner in accordance with departmental and Trust Health & Safety Policies
- To contribute to the care, maintenance, security and tidiness of the
- Laboratory Premises and equipment

Qualifications
Essential criteria
- GCSE at Grade C in English and Maths (or equivalent qualifications) or equivalent experience
Desirable criteria
- NVQ Level II in Business Admin/Customer Service/IT
Experience
Essential criteria
- Experience of working within an office environment
- Experience of working in a public facing role.
Desirable criteria
- Relevant experience within the NHS
Further Training
Essential criteria
- Knowledge of / experience of using information and/or customer service systems.
- Working knowledge of Microsoft Office packages including Outlook, Excel and Word.
Desirable criteria
- Previous experience Infoflex / 59R Software
- Previous experience of PAS / Infoflex / SystmOne (area specific software)
Skills and Knowledge
Essential criteria
- Understanding of data protection issues and the ability to maintain confidentiality
- Excellent communication skills, with ability to deal with staff at all levels.
