‘We have an amazing opportunity for an enthusiastic individual to join the General Surgery Directorate Team as our Waiting List Coordinator, Day Surgery Unit (DSU). This is an exciting new role aimed at providing a focused and dedicated resource to maximise the flow of patients on a High Volume Low Complexity (HVLC) surgical pathway to treatment within the DSU at the Northern General Hospital (NGH).
Within the current Trust focus to reduce waiting times for patients, the successful candidate will work alongside the DSU nursing and administration team, surgeons, anaesthetists and operational management team to actively shape the pathway and daycase experience for patients. Improvement work is in line with local and national standards to ensure patients are prepared and receive timely surgery within expected timescales. The postholder will have a key role in the delivery of the HVLC surgical pathway.
As a member of the General Surgery Directorate, the postholder will be welcomed into the established Waiting List Team to work alongside colleagues who manage patient pathways into the main theatres at the NGH.

Main duties of the job
All Waiting List Coordinators routinely link in with patients to coordinate their admission and work alongside the multidisciplinary team to ensure efficient scheduling and utilisation of theatre lists. With a varied role, the postholder will develop a range of skills and knowledge of the surgical pathway and systems across the organisation.
Robustly manage a PTL against local and national waiting times in accordance to the Access Policy.
Be responsible for informing Theatre and Anaesthetic Teams of the Theatre list requirements within the Directorate, such as KIT requirements, including bespoke items and products. Ensuring any cancellations or changes are communicated to appropriate department and persons.
Use appropriate booking processes to facilitate the admission of patients adding, removing and suspending patients to and from the inpatient waiting list.
Be responsible for making sure all relevant information is accurately recorded on Lorenzo, ORMIS, CBBS, COO report and diaries.
Be responsible for the production of theatre lists using the ORMIS database ensuring all relevant information is recorded and documented including updating alterations making sure they are accurate and delivered in a timely manner.

Qualifications
Essential criteria
- 4 GCSE’s grades A-C (4-9) including Math’s and English or equivalent experience/ qualifications.
Desirable criteria
- ECDL
- NVQ level III in Business Admin
Experience
Essential criteria
- Extensive experience of waiting list coordination
- Experience of managing patient waiting time targets including 18 week RTT and cancer wait times
- Experience of populating and coordinating a theatre list
- Experience of working with Doctors and other clinical staff
- An ability to work effectively with colleagues from a range of disciplines
- Determination and resilience of meeting objectives and deadlines
Desirable criteria
- Clear understanding of NHS clinical and operational systems
- Outline knowledge of other departments that make up Surgical Services
- Understanding of relevant Trust Policies and ability to ensure compliance
