Job overview

An exciting opportunity has arisen to join the Medicine Care Group Operational Management team at Sheffield Children's NHS Foundation Trust as an Operational Support Manager.  The key focus of this role is to support the operational management of the ED Department.  Kay areas being to provide day to day line management and supervision to the ED Reception and Administrative workforce, compile workforce rotas and oversee budgets and agency spend.  

The post holder will be a compassionate, accountable individual who treats all colleagues, patients and service users with respect and seeks to deliver excellence in their role. They will share the Trust values and be committed to equality, diversity and inclusion.

The successful Operational Support Manager will have experience of line management, supporting performance management and delivery of service and day to day operational management and service improvement.   

Main duties of the job

  • Line manage specified members of staff.
  • Authorise requests for annual leave and carer’s leave, ensuring minimum staffing levels are maintained.
  • Record staff absences in line with Trust policy, for example sickness absence, annual leave, study leave, etc.
  • Monitor sickness levels ensuring compliance with policy and report matters to the Operational Manager/Deputy Care Group Manager as appropriate.
  • Support recruitment of new administrative staff and clinical staff within the Care Group. 
  •  Initiate first line disciplinary action for specified staff within the Care Group. 
  • Work with the Care Group management team, Trust support services/teams and clinical teams to assist in the delivery of performance targets including waiting times, patient experience, activity.
  • Oversee the operational issues within the Care Group in relation to delivery of services, planning, reporting, and problem solving, managing the impact on service delivery and patient experience as appropriate.
  • To support the Care Group management team in supporting effective two-way communication with the services managed within the Care Group. 
  • Analyse and resolve problems in the current systems and resolve these by implementing new systems. 
  • In conjunction with the Clinical Lead, Operational Manager/Deputy Care Group Manager to ensure that services are effectively co-ordinated to take account of medical staff absences.
  • Support the Operational Manager in all operational aspects of their role as required.

Qualifications and Training

Essential criteria
  • Degree or proved graduate level ability or demonstrable equivalent experience
Desirable criteria
  • Evidence of on-going professional development
  • Qualification for Microsoft Office packages (ECDL or equivalent)

Experience

Essential criteria
  • NHS operational experience
  • Working knowledge of hospital systems (eg PAS)
  • Experience of working and negotiating with colleagues at all levels
  • Experience of working within an NHS environment and planning healthcare services
  • Demonstrable experience of managing a waiting list
  • Ability to use information/data to effectively support the improvement of performance and service delivery
Desirable criteria
  • Operational management experience
  • Line management experience
  • Experience of managing information, sharing and analysing data

Knowledge and Skills

Essential criteria
  • In depth knowledge and experience of working with waiting list policies, outpatient and inpatient waiting time targets
  • Evidence of excellent organisational skills, prioritisation and communication skills
  • Experience of being able to work as part of a team, whilst being able to work independently
  • Comprehensive knowledge of Microsoft Office and ability to use Excel spreadsheets and pivot tables
  • Proven track record of delivering and achieving targets
Desirable criteria
  • Awareness of current NHS climate and direction of travel
  • Leadership / management training
  • An understanding of clinical governance
