Safeguarding Secretary

Job overview

We have an opportunity for a resourceful individual to join our busy Safeguarding Team.       

This is a demanding role, but working under the supervision and guidance of the Safeguarding Professionals this individual will be supported in delivering a comprehensive secretarial service to the Safeguarding Team, with allocated time to support the Head of Safeguarding.   

The main focus of your role will be to assist the team, by providing high quality secretarial support, and provide allocated secretarial support to the Head of Safeguarding.  In general the role will include the co-ordination of meetings and liaising with individuals both internal and external to the Trust. You will need a calm but confident approach in order to deal with very sensitive information and emotional situations.  You will need to demonstrate a clear ability to effectively communicate with others across a range of settings and have the ability to record and produce highly sensitive and confidential data. You will understand the emotional effort involved and be able to calmly manage the demands of the role whilst recognising your own needs and accessing appropriate support. 

Administrative/secretarial experience within a healthcare environment, excellent communication skills  and the ability to adapt to the changing demands of the role, working to tight deadlines with minimal supervision are also vital.

Main duties of the job

At all times respect patient confidentiality and including , the confidentiality of electronically/manually stored patient/personal data, in line with the requirements of the Data Protection Act 2018.

Be aware of individual responsibilities and maintain a safe environment in accordance with the Health and Safety at Work Act. Identify and report immediately any untoward incident, accident or potential hazard.

Undertake manual handling in accordance with Trust Policy and appropriate to own working environment

Participate in annual Performance Development Appraisal

Develop IT skills as required in line with Trust developments

Attend all statutory and essential training and any further training identified at Performance Development Appraisal

Adhere to Trust and Directorate policies and procedures – contribute to development and review of policies

Experience

Essential criteria
  • Working within clerical area
  • Recent Admin/Secretarial experience
  • Organising meetings and take minutes
  • Working knowledge of Microsoft Office software especially Excel or willingness to undertake training
  • Design and implementation of systems/ databases/spreadsheets to accurately capture data
  • Data inputting/ interpretation /manipulation skills

Qualifications

Essential criteria
  • GCSE English Language – minimum grade C or equivalent or equivalent experience
  • RSA Stage II Typing / Word-processing/Audio typing or equivalent or equivalent experience

  • IT Qualification at intermediate level
  • Willingness to develop professional qualifications/skills in line with the requirements/ development of the post.
