Job overview

An opportunity has arisen for an enthusiastic individual to join our small and welcoming E-Procurement Team based in the Procurement Dept. at Doncaster & Bassetlaw Teaching Hospitals NHS Foundation Trust.

The role will require full comprehensive knowledge and understanding of the Procure to Pay process.

The role is to provide support to the E-Procurement and Category Management Team, undertaking operational tasks involved in the Procure to Pay process.

This role will assist in the maintenance of the Procurement/Finance systems.

The individual will assist with advising, assisting and resolving any order/invoice related queries for Trust customers.  This will involve liaising with Trust personnel and Trust Suppliers.

Will be required to forge excellent working relationships within the Trust and external customers and show professionalism in any dealings and communications.

 Must have excellent IT skills and will be required to become familiar and competent with a number of Procurement Systems.

Main duties of the job

  •          A comprehensive and excellent service to Trust customers on all aspects of the procurement process.
  •          Provide support for both E-Procurement and Category Teams.
  •          Process of basic non-catalogue requisitions.
  •          Undertake operational duties, including requesting copy orders, expediting and reporting shortages on purchase orders, transferring workflow and housekeeping of aged orders.
  •          Working with internal departments to assist with receipting of invoices.
  •          Liaise with internal and external customers to resolve any Procurement order queries in the Procure to Pay process.
  •          Support suppliers with invoice query resolution.
  •          To manage E-Procurement email account.
  •          Requesting price lists from suppliers.
  •          Ordering of office stationery. 
  •          Responding to GP requests for Trust forms.
  •          Ensure electronic documentation is validated and updated.
  •          Establish excellent relationship with all Trust personnel and external customers.
  •          To advise customers on policies and procedures related to Procurement.
  •          Deal promptly and efficiently with all queries and discrepancies.
  •          Ability to work under pressure, to multi mask, prioritise workload whilst and maintaining an excellent high level of professionalism at all times.
  •          Be flexible and carry out any ad-hoc requests as required.

  • Must have experience of working in a customer centred environment.

Eligibility/Qualifications/Training

  • Prepared to undertake training in Procurement
  • Computer literate using Microsoft applications
